We are seeking a professional and organized Front Desk and Administrative Coordinator to manage our reception area and provide comprehensive support to our HR and Administration teams. The ideal candidate will be the first point of contact for visitors, clients, and employees, ensuring a welcoming and efficient experience. This role also involves handling travel arrangements and visa coordination, maintaining confidentiality, and supporting various administrative tasks to contribute to smooth office operations.
Key Responsibilities
- Manage the reception area by greeting visitors, clients, and employees in a courteous and professional manner.
- Handle incoming calls, emails, and general inquiries, directing them promptly to the appropriate departments.
- Maintain accurate visitor records, meeting schedules, and front-desk documentation to ensure organized operations.
- Coordinate meeting room bookings, visitor arrangements, and other reception-related activities.
- Receive and distribute incoming mail, courier packages, and official documents efficiently.
- Provide administrative assistance to HR and Administration teams as needed.
- Arrange business travel, including flight bookings, hotel reservations, airport transfers, and preparing travel itineraries.
- Assist with visa-related processes such as applications, documentation, invitation letters, and liaising with travel agencies or visa service providers.
- Maintain confidential records of employee travel, visas, passports, and related documentation.
- Collaborate with relevant departments and management to secure travel approvals and finalize arrangements.
- Perform additional administrative and front-desk duties as assigned by management.
Required Qualifications
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Between 1 to 3 years of experience in front desk operations, administration, travel coordination, or a similar role.
- Strong communication and interpersonal skills to interact effectively with diverse stakeholders.
- Proficiency in Microsoft Office applications and general administrative tools.
- Excellent organizational skills with the ability to manage time and prioritize tasks efficiently.
- Professional appearance combined with a customer-service oriented mindset.
