The role involves managing the efficient rooming and registration process for incoming guests, ensuring a smooth and welcoming experience. The incumbent will respond to guest inquiries courteously and provide accurate information while maintaining professionalism at all times.
Key Responsibilities:
- Update and maintain information received from various departments, ensuring all details are accurate and presentable to guests.
- Handle guest complaints, inquiries, and requests promptly, escalating issues to the Supervisor when necessary.
- Keep room status and information racks current, and distribute check-out and arrival slips to telephone and room service departments.
- Prepare and distribute essential daily reports including turn-down sheets, night receptionist reports, guest in-house lists, VIP lists, and daily forecasts to relevant departments. Notify outlets and departments about regular and VIP arrivals, room changes, check-ins, check-outs, and other arrangements.
- Manage the check-out process by updating the room information rack and retrieving room keys from departing guests.
- Review housekeeping reports for discrepancies, report findings to superiors, and follow up as required.
- Transmit and receive messages via telephone and telex efficiently.
- Conduct pre-registration of guests prior to arrival and register guests upon arrival following the hotel’s standard operating procedures.
- Address guest queries and complaints, ensuring timely and satisfactory resolution.
- Update the daily room status report and coordinate with other departments regarding room or rate changes.
- Perform daily courtesy calls to guests to enhance their experience.
- Record complaints, suggestions, and compliments in the Guest Service Management System (GSMS) daily.
- Maintain accurate message logs in the logbook on a daily basis.
- Manage shift handovers and take responsibility for assigned shifts.
- Execute the check-out process using Opera software in accordance with company policies.
- Greet guests, escort them to their rooms, and provide a thorough orientation of room features, including electrical operations.
- Engage in upselling, cross-selling, and suggestive selling to maximize revenue opportunities.
- Maintain the cash float and accurately record all financial transactions.
Required Qualifications:
- Graduation from a recognized institution.
- Overall professional experience ranging from 0 to 2 years.
- Relevant experience in a similar role between 0 to 1 year.
- Strong written and verbal communication skills.
