Accounts Executive

The Accounts Executive will be responsible for managing the daily financial transactions and maintaining accurate accounting records for the showroom. This role is crucial in ensuring financial integrity, supporting sales operations through precise billing, and providing timely financial data to management. The ideal candidate will have a strong understanding of accounting principles, excellent attention to detail, and experience in a retail or trading environment.

Key Responsibilities:

Sales Invoicing & Billing:
- Generate accurate sales invoices, credit notes, and debit notes for all tile and sanitary product sales.
- Ensure proper application of discounts, taxes (e.g., sales tax), and other charges.
- Coordinate with the sales team to verify order details and customer information.
Accounts Receivable Management:
- Process and record all incoming payments from customers (cash, bank transfers, credit/debit cards).
- Reconcile daily cash and bank receipts with sales records.
- Monitor outstanding receivables and follow up with customers for timely payments.
- Prepare customer statements and payment reminders.
Accounts Payable Management:
- Process and verify supplier invoices for tiles, sanitary ware, and operational expenses.
- Prepare and process payments to suppliers, ensuring adherence to payment terms.
- Reconcile supplier statements and resolve any discrepancies.
Bank & Cash Management:
- Perform daily bank reconciliations to ensure accuracy between bank statements and company records.
- Manage petty cash, ensuring proper documentation for all disbursements and reimbursements.
Expense Management:
- Record and track all showroom operational expenses.
- Ensure proper authorization and documentation for all expenditures.
Financial Reporting & Record Keeping:
- Maintained organized and accurate financial records, ledgers, and journals.
- Assist in the preparation of monthly, quarterly, and annual financial reports (e.g., trial balance, profit & loss statement).
- Ensure compliance with company policies and accounting standards.
Inventory Costing Support (if applicable):
- Liaise with the Warehouse Manager to ensure accurate costing of incoming inventory.
- Assist in reconciling physical inventory counts with accounting records.
Taxation & Audit Support:
- Assist in the preparation of sales tax returns and other relevant tax filings.
- Provide necessary documentation and support during internal and external audits.

Qualifications:

Bachelor's degree in Accounting, Finance, Commerce, or a related field.
Proven experience (2-4 years) as an Accounts Executive, Junior Accountant, or similar role, preferably within a retail, trading, or building materials company.
Proficiency in accounting software (e.g., QuickBooks, Tally, SAP Business One, or similar ERP systems).
Strong command of Microsoft Excel for data analysis and reporting.
Solid understanding of basic accounting principles (double-entry bookkeeping).
Exceptional attention to detail and accuracy in data entry and reconciliation.
Strong analytical and problem-solving skills.
Ability to work independently and as part of a team in a fast-paced environment.
Good communication and interpersonal skills.
