Lombard Systems is a pioneering company enabling institutions to lend against tokenized and digital assets as collateral without transferring them, based on the Delivery-versus-Lock (DvL) standard. Operating across Dubai, London, and New York, with offices in Islamabad and Dubai, the company collaborates with banks, custodians, and market infrastructure. As Lombard Systems prepares to onboard its first banking clients, expand its commercial team, and approach its next funding round, it is seeking a highly capable Operations Lead to establish and manage its operations function from the ground up.
Key Responsibilities
- Build and Own Operations Function: Develop and implement all internal systems and processes, including CRM, document and contract management, dashboards, and finance routines. Ensure these run efficiently and independently without CEO intervention.
- KPI Management and Reporting: Define quarterly objectives, establish a weekly operating rhythm, and produce monthly dashboards for founders, board members, and investors.
- Process Development: Document and standardize recurring workflows such as onboarding new employees, engaging new banking partners, managing external document releases, and handling due diligence questionnaires.
- CRM and Revenue Operations: Set up and manage HubSpot for pipeline management, partner and deal tracking, deal registration, and commercial reporting. Oversee usage billing as banking clients go live.
- Document and Contract Administration: Maintain a centralized, organized repository for all company documents with strict naming conventions, version control, and a contract register tracking agreements from draft to renewal.
- Company Administration: Handle statutory filings, board minutes, cap table and option grants, insurance policies, and renewals of trademarks, domains, and patents in coordination with external advisers.
- Finance and Administration: Manage monthly payroll and contractor payments via Deel, invoicing, expense tracking, budgeting, and coordinate monthly financial close with accountants and tax advisers.
- Controls and Compliance: Implement joiner and leaver access checklists, maintain the data protection register, and conduct sanctions and KYC checks on partners and clients. Support the CISO with SOC 2 compliance evidence gathering.
- People and Partner Management: Oversee hiring logistics, onboarding, maintain a concise company handbook, manage partner certification records, and organize the data room for upcoming funding rounds.
Required Qualifications
- 5 to 10 years of experience in operations or business operations, preferably within a fast-growing small company or an international firm serving foreign clients.
- Proven track record of building operational processes from scratch—such as finance routines, CRM systems, and document management—and maintaining them autonomously.
- Excellent written and verbal communication skills in English, with a professional demeanor suitable for interaction with banks, lawyers, and accountants.
- Strong numerical aptitude, contract familiarity, and proficiency with software tools. Demonstrated ability to follow through on tasks to completion.
- Highly organized, direct, and discreet personality.
Preferred Qualifications
- Background in financial services, fintech, or professional services.
- Experience using tools such as Deel, HubSpot, Carta, or similar platforms.
- Familiarity with bank vendor due diligence and security questionnaires.
