We are seeking a detail-oriented and organized Project Coordinator to join our team. This role primarily involves managing tender and proposal submissions while coordinating ongoing Payroll and Employer of Record (EOR) projects. The ideal candidate will work closely with various departments to ensure smooth project execution and timely delivery of client requirements.
Key Responsibilities
- Monitor procurement portals, Requests for Proposals (RFPs), and Requests for Information (RFIs) to identify relevant business opportunities.
- Coordinate and prepare tender and proposal submissions, ensuring compliance with all specified requirements.
- Collaborate with Legal, Finance, Operations, and other internal teams to collect necessary information and documentation.
- Manage client and employee onboarding processes related to EOR and payroll projects.
- Track monthly payroll schedules, contract renewals, employee benefits, and offboarding activities to maintain accurate records.
- Serve as a primary point of contact for client inquiries and operational matters, ensuring effective communication.
- Monitor project milestones, deliverables, Service Level Agreements (SLAs), and action items to keep projects on track.
- Prepare comprehensive project status reports, bid tracking reports, and client dashboards for internal and external stakeholders.
- Organize project meetings and maintain detailed logs of meeting minutes and action items.
Required Qualifications
- Bachelor’s degree in Business Administration, Human Resources, Project Management, or a related field.
- 2 to 4 years of experience in project coordination, tender/proposal preparation, or HR operations.
- Strong understanding of tender and proposal documentation processes.
- Excellent communication, coordination, and interpersonal skills.
- High attention to detail, strong organizational skills, and the ability to multitask effectively.
- Proficiency in Microsoft Word, Excel, and PowerPoint.
- Strong problem-solving abilities and a client-service mindset.
Preferred Qualifications
- Previous experience with Payroll, Employer of Record (EOR), or Professional Employer Organization (PEO) services is highly desirable.
