The HR Coordinator will play a vital role in supporting the Human Resource function by ensuring efficient, compliant, and people-centered HR services across AGAHE's programs. This position involves assisting with recruitment, managing personnel records, implementing HR policies, coordinating payroll, and supporting employee relations, performance management, and exit procedures. The role contributes to maintaining a fair, safe, and well-governed work environment aligned with AGAHE’s mission. The position is based at the Head Office in Lahore, Punjab, with a preference for female candidates domiciled in Punjab Province.

Key Responsibilities

- Support the full recruitment and selection process, including drafting job specifications and descriptions, posting vacancies, shortlisting candidates, scheduling interviews, and coordinating with interview panels.
- Facilitate onboarding and induction for new employees, ensuring all joining formalities are completed, and provide orientation on organizational policies and safeguarding/PSEA briefings.
- Maintain accurate and confidential personnel files, both physical and digital, in compliance with organizational and donor requirements.
- Manage staff attendance, leave records, and timesheets through the HRIS system, coordinating with the finance unit to ensure timely payroll processing.
- Lead the development, review, and implementation of HR policies and procedures in accordance with Pakistan labor laws and donor compliance standards.
- Coordinate the employee performance management cycle, including probation reviews, confirmations, annual appraisals, and follow-up on performance improvement plans.
- Support the identification of training and capacity-building needs and assist in organizing staff development sessions.
- Serve as the first point of contact for employee queries, supporting the fair and confidential handling of grievances and disciplinary matters in coordination with line managers.
- Manage staff exit formalities, including clearance, handover, final settlement documentation, and conducting exit interviews within the stipulated timeframe.
- Maintain and regularly update the HR database/HRIS and generate reports as required by management and donors.
- Ensure compliance with AGAHE’s Safeguarding, PSEA (Protection from Sexual Exploitation, Abuse, and Harassment), and Code of Conduct policies across all HR processes.
- Conduct staff surveys related to the office working environment, staff benefits, and associated facilities, and provide recommendations to management.
- Perform any other HR-related tasks assigned by the supervisor as needed.

Required Qualifications

- Master’s degree in Human Resource Management (HRM) or Master of Business Administration with a major in HR from an HEC-recognized university.
- 2 to 3 years of relevant professional experience in HR management, preferably within the development sector (NGO/INGO/UN).
- Strong understanding of HR functions, including recruitment, personnel records management, performance management, and labor law compliance.
- Working knowledge of Pakistan labor laws and, preferably, donor compliance requirements applicable to the NGO sector.

Skills and Competencies

- Excellent interpersonal, communication, and coordination skills.
- High level of confidentiality, integrity, and professional ethics.
- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with HR information systems/databases.
- Ability to multitask, prioritize, and work effectively under deadlines.
- Sensitivity to gender, diversity, and safeguarding principles consistent with AGAHE’s mandate.
