SMS Group of Companies, a reputable chemical solutions provider in Pakistan since 1990, is seeking a proactive and detail-oriented Import & Export Coordinator for its Head Office. This role involves managing and coordinating all import and export activities, including documentation, shipment tracking, and communication with suppliers, customers, clearing agents, freight forwarders, banks, and internal departments. The successful candidate will serve as the central point of contact to ensure smooth execution of transactions, timely processing of documents, and effective communication across all relevant parties.

Key Responsibilities

- Coordinate end-to-end import and export activities, from order initiation through shipment delivery and documentation completion.
- Liaise with foreign suppliers, customers, freight forwarders, clearing agents, shipping lines, and other logistics partners.
- Prepare, verify, and maintain import/export documentation such as Commercial Invoices, Packing Lists, Bills of Lading/Airway Bills, Certificates of Origin, Goods Declarations (GDs), and other relevant paperwork.
- Monitor shipment schedules, including Estimated Time of Departure (ETD) and Estimated Time of Arrival (ETA), and provide timely updates to management and internal departments.
- Work closely with clearing agents to facilitate customs clearance, port-related matters, and required documentation.
- Coordinate with banks on import/export-related documentation, payments, and banking requirements as needed.
- Follow up on pending documents, shipment clearances, deliveries, and other outstanding issues.
- Maintain accurate records of shipments, documentation, costs, and correspondence.
- Collaborate internally with Accounts, Sales, Purchase, Warehouse, Logistics, and Management teams to ensure seamless shipment processing.
- Assist in monitoring freight, clearing, transportation, and other shipment-related costs, maintaining proper records.
- Manage official communications, including emails related to import/export transactions, ensuring timely responses.
- Ensure all activities and documentation comply with company procedures and applicable regulatory requirements.
- Prepare regular reports on shipment status, pending documents, imports, exports, and other assigned tasks.
- Perform any additional import/export coordination and follow-up duties as assigned by management.

Required Qualifications

- Intermediate education is required; a Bachelor’s degree in Supply Chain, Business Administration, Commerce, or a related field is preferred.
- Prior experience in Import/Export, Logistics, or Shipping is advantageous.
- Strong command of English and Urdu, both written and verbal.
- Solid understanding of import/export documentation and shipment procedures.
- Excellent communication and coordination skills.
- Proficiency in MS Excel, MS Office, and email communication.
- Highly organized, detail-oriented, and capable of managing multiple shipments and deadlines simultaneously.
- Ability to coordinate effectively with internal departments and external partners.
- Ability to work under pressure and meet time-sensitive requirements.
