What does Virtual Assistant do?

Virtual Assistant responsibilities include following up on customer appointments, updating the customer database, sending thank you notes and letters to the customer leads. In additional he/she will also act as a transactional coordinator for all property purchase and sales. Working with the closing companies , attorney office to ensure smooth closing transactions. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools such as MS Office programs. Bilingual in Spanish is a plus, but not a requirement. If you also have previous experience in a mortgage office, title company, or real estate field, we'd like to meet you. Ultimately, a successful assistant should ensure the efficient and smooth day-to-day operations of our office.

Responsibilities

  • Answer and direct phone calls
  • Organize and schedule appointments on multiple calendars
  • Create property files, manage and schedule associated tasks
  • Write and distribute emails, letters, faxes and forms
  • Assist in the preparation of property flyers and advertising
  • Update and maintain Social Media sites: Facebook, Craigslist, etc.
  • Order office supplies and research new deals and suppliers
  • Update and maintain contact lists for multiple end users
  • Act as the point of contact for internal and external clients
  • Become proficient using software specific to our business

Requirements

  • Every candidate must complete a HomeVestors® Four Strengths Profile prior to interview
  • Works well on a team
  • Proven experience as an administrative assistant, virtual assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel, MS Word, & MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Ability to follow instruction and take action without constant supervision
  • High School degree; additional qualification as an Administrative assistant or real estate processor, will be a plus
  • Spanish speaking is a plus, but NOT a requirement

Compensation:

The ideal candidate should be available for 40 hours a week. Pay raises are guaranteed for candidates who exhibit exceptional performance on a regular basis. This position has a lot of potential for growth as our business expands. A self-motivated individual with excellent work ethic will be successful and well rewarded.
