Key Responsibilities
HR Operations & Employee Lifecycle: Maintain accurate employee records, contracts, and HR documentation. Support onboarding and offboarding processes, including orientation, clearances, and exit formalities. Manage employee confirmations, internal movements, promotions, and routine lifecycle activities. Keep HR forms, policies, and handbooks updated and ensure confidentiality and accessibility of HR records.
Employee Support & People Processes: Act as the first point of contact for routine employee queries related to HR policies, attendance, leave, and workplace matters. Maintain attendance and leave records, coordinating with managers to resolve discrepancies. Support performance reviews, employee feedback, engagement activities, and internal HR communications. Escalate complex employee concerns appropriately and contribute to improving employee experience and HR processes.
Workplace & Office Management: Oversee daily office operations to maintain a safe, organized, and functional workplace. Coordinate maintenance, cleaning, utilities, internet, repairs, and facilities needs. Monitor office supplies, pantry inventory, and equipment. Manage office assets, seating arrangements, meeting room readiness, and workplace logistics. Address workplace issues promptly and support office events and employee activities. Recommend improvements to office processes and facilities.
Vendor Management & Procurement Coordination: Liaise with external vendors for office supplies, cleaning, maintenance, internet, security, transportation, and other services. Maintain an updated vendor database with service agreements, pricing, and payment records. Request quotations, compare proposals, and assist in purchasing decisions. Ensure timely vendor service delivery and issue resolution. Monitor vendor performance and coordinate invoicing and payments with finance. Support vendor onboarding, contract renewals, and performance reviews. Identify opportunities to optimize costs and service quality.
Administration, Expenses & Documentation: Keep organized records of office expenses, invoices, purchase orders, and related documentation. Support budget tracking for office supplies and vendor services. Coordinate approvals for administrative purchases and assist with expense reconciliation alongside Finance. Ensure workplace and vendor documentation is accurate and up to date.
Reporting & Process Improvement: Prepare periodic reports on HR operations, office expenses, vendor performance, inventory, and outstanding workplace issues. Track operational requirements, vendor renewals, maintenance schedules, and pending requests. Maintain trackers and spreadsheets to enhance visibility of workplace activities and costs. Recommend improvements to HR administration, office management, procurement, and vendor workflows. Collaborate with People, Finance, IT, and other teams to ensure smooth internal operations.
Required Qualifications
- 1–2 years of experience in HR, People Operations, office administration, workplace operations, or related fields.
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related discipline.
- Basic understanding of HR processes, employee documentation, attendance, leave management, and employee support.
- Experience coordinating office operations, facilities, suppliers, vendors, or administrative services.
- Strong organizational skills with keen attention to detail.
- Effective written and verbal communication abilities.
- Proficiency in Microsoft Office or Google Workspace, especially Excel or Google Sheets.
- Ability to maintain accurate records, manage follow-ups, and handle multiple tasks simultaneously.
- Strong interpersonal and problem-solving skills.
- Professional handling of confidential employee and business information.
- Proactive, hands-on approach to resolving operational issues and supporting employees.
Preferred Qualifications and Benefits
Experience managing vendors, service providers, office supplies, or facilities-related requests is advantageous. Exposure to procurement coordination, invoice processing, expense tracking, and budget monitoring is a plus. Familiarity with maintaining asset inventories and office administration trackers, as well as HRIS, attendance management systems, procurement tools, or workplace management software, is desirable. Prior experience in a fast-paced startup or growing organization and involvement in coordinating office events or employee engagement initiatives will be beneficial.
