We are seeking a highly skilled and motivated Export Officer / Export Documentation Specialist to join our dynamic team. The ideal candidate will play a critical role in ensuring smooth and efficient international trade operations by managing export documentation, compliance, and logistics processes. This role requires meticulous attention to detail, strong communication skills, and a comprehensive understanding of export regulations and documentation requirements for both the US and European markets.

1. Responsibilities: Export Documentation Management:

  • Prepare and review all necessary export documentation, including invoices, packing lists, certificates of origin, bills of lading, and other required documents.
  • Ensure accurate completion of export documentation to comply with international trade regulations and standards.

2. Regulatory Compliance:

  • Stay updated on US and European export regulations, trade policies, and customs procedures to ensure compliance.
  • Collaborate with relevant authorities to secure required permits and licenses for international shipments.

3. Logistics Coordination:

  • Coordinate and liaise with shipping companies, freight forwarders, and customs brokers to ensure timely and efficient movement of goods.
  • Monitor shipments and address any potential delays or issues in transit.

4. Customer Communication:

  • Act as a primary point of contact for international customers regarding export-related inquiries and information.
  • Provide accurate and timely updates on shipment statuses, documentation, and compliance matters.

5. Internal Collaboration:

  • Work closely with the sales, supply chain, and finance teams to ensure alignment on export processes and information sharing.
  • Collaborate with colleagues to address any issues related to shipments, documentation, or compliance.

6. Data Management:

  • Maintain accurate records of all export / Import documentation, correspondence, and related information.
  • Generate reports and analyze data to identify trends, areas for improvement, and opportunities to streamline processes.

7. Continuous Improvement:

  • Identify areas for process enhancement and contribute to the development and implementation of best practices.
  • Stay informed about advancements in export documentation technology and recommend updates to systems or tools as needed.

Qualifications:

  • Bachelor's degree in International Business, Supply Chain Management, or a related field preferred.
  • Proven experience as an Export Officer, Export Documentation Specialist, or similar role, with a deep understanding of export regulations and documentation requirements.
  • Familiarity with USA and European export laws, customs procedures, and trade agreements.
  • Strong attention to detail, organizational skills, and ability to work accurately under pressure.
  • Excellent communication and interpersonal skills, with the ability to interact with customers, colleagues, and external partners effectively.
  • Proficiency in using export-related software and tools, including document management systems and customs portals.
  • Problem-solving mindset and the ability to adapt to changing regulations and industry trend
