Sahor One Technologies is seeking a highly experienced Manager — Operations & Administration to oversee the day-to-day functioning of our office and internal operations. This senior role requires a dependable, mature, and highly organized professional capable of independently managing office operations without continuous supervision. The ideal candidate will serve as a critical operational point of contact for management, ensuring the office environment, employees, vendors, facilities, assets, and documentation remain well-organized and fully functional. This position involves close coordination with leadership, HR, Finance, Engineering, and other departments to maintain operational discipline and continuity as the company grows.

Key Responsibilities

- Take full ownership of office operations, including opening/closing procedures, workplace organization, maintenance, utilities, internet connectivity, cleaning supervision, security, access control, visitor management, reception standards, meeting-room readiness, workspace allocation, office supplies, pantry management, repairs, preventive maintenance, and emergency arrangements.

- Proactively identify, assess, resolve, follow up, document, and close operational issues such as equipment failures, internet outages, vendor delays, facility maintenance, procurement needs, security concerns, asset discrepancies, and workplace complaints.

- Manage all administrative processes professionally, including maintaining records, vendor documentation, contracts, payment documents, renewals, official correspondence, administrative registers, and preparing management reports.

- Oversee vendor and supplier relationships by sourcing reliable vendors, obtaining quotations, negotiating pricing, placing orders, monitoring delivery and quality, verifying invoices, and reviewing vendor performance to protect company interests.

- Handle routine procurement of office equipment, furniture, stationery, software, and other supplies with proper documentation, approvals, and record-keeping.

- Maintain an accurate asset register covering laptops, monitors, mobile devices, office equipment, furniture, access cards, and keys, ensuring proper assignment, condition tracking, and recovery during employee exits.

- Administer physical and operational security controls, including office keys, building access, visitor controls, security vendor coordination, CCTV administration, and after-hours access management.

- Maintain strict confidentiality regarding sensitive company information related to employees, salaries, finances, contracts, business plans, and legal matters, demonstrating unwavering integrity.

- Collaborate closely with HR on employee onboarding, workspace preparation, equipment allocation, attendance, access cards, welfare, policies, events, discipline, exits, and asset recovery.

- Coordinate with Finance on vendor invoices, expense documentation, petty cash, office expenses, purchase approvals, payments, utility bills, reimbursements, and budget tracking, ensuring responsible handling of company funds.

- Work alongside IT and Engineering teams on laptop procurement, device assignment, network vendors, office connectivity, meeting-room technology, hardware inventory, and equipment recovery.

- Enforce workplace discipline and standards by monitoring office timings, conduct, workspace discipline, visitor control, property use, safety, cleanliness, and equipment handling, escalating serious issues appropriately.

- Develop and maintain practical policies and standard operating procedures (SOPs) for office operations, visitor management, procurement, asset management, emergency procedures, and incident escalation to ensure operational consistency.

- Potentially supervise administrative and support staff such as office assistants, receptionists, drivers, security personnel, cleaning and maintenance teams, managing duty allocation, scheduling, performance, discipline, training, and service standards.

- Support senior leadership by following up on instructions, coordinating meetings, maintaining action lists, managing external parties, preparing operational updates, handling urgent matters, and escalating risks promptly.

- Manage business continuity and emergency situations calmly, including power failures, internet outages, security concerns, equipment breakdowns, vendor failures, and unexpected inspections, ensuring timely resolution and escalation.

- Provide concise operational reporting covering outstanding issues, procurement status, vendor and maintenance concerns, asset movements, expenses, renewals, risks, security, approvals, incidents, and actions requiring management attention.

Required Qualifications

- Minimum 6 years of professional experience in operations, administration, or office management with significant independent responsibility.

- Proven track record managing complete office operations, multiple departments, vendors, procurement, assets, administrative staff, facilities, employee administration, operational budgets, and senior-management requirements.

- Strong personal integrity, responsibility, follow-up skills, mature judgment, confidentiality, professional communication, negotiation, vendor management, procurement expertise, administrative discipline, team management, problem-solving ability, and basic financial understanding.

- Proficiency in Microsoft Excel/Google Sheets, Word/Google Docs, email communication, and comfort with modern workplace technology.

Preferred Qualifications and Benefits

- Experience in technology, software, SaaS, professional services, corporate offices, or fast-growing startups is highly desirable.

- The role offers a starting salary from Rs75,000 per month and requires in-person work.

Success in this role means the office operates smoothly without constant senior management involvement, employees have the resources they need, company assets are accounted for, vendors and purchases are well-managed, operational issues are resolved promptly, confidential information remains secure, and management can trust the Operations Manager to independently maintain discipline and continuity. This position is suited for a proactive operator and manager, not someone focused solely on routine clerical tasks or reception duties.
