Medically Smart is seeking a dedicated Practice Manager / Team Lead with at least 2 years of experience to oversee and optimize healthcare practices within U.S. healthcare settings, specifically focusing on Dental, Pediatric Dentistry, Family Medicine, or related medical specialties. This leadership role demands a comprehensive understanding of patient care and administrative workflows including appointment scheduling, patient registration, insurance verification, prior authorizations, referrals, patient communication, and follow-up processes. The ideal candidate must have hands-on experience with Electronic Health Records (EHR), Practice Management Systems (PMS), patient portals, and relevant healthcare software, ensuring smooth daily operations and enhanced patient experience. In addition to managing operational workflows, the Practice Manager / Team Lead will supervise a team of three professionals, fostering a collaborative environment that promotes efficiency and continuous improvement. This role involves serving as the primary contact for client accounts, maintaining high service quality, and leading initiatives to implement best practices that support the growth and success of client healthcare practices. Strong communication skills (including good english speaking), leadership capabilities, and a solid grasp of U.S. healthcare insurance and documentation standards are essential to excel in this role and drive the practice toward achieving its objectives.


Responsibilities
  • Manage and oversee daily operations of healthcare practices, ensuring efficient patient flow and optimal administrative functioning.
  • Lead, recruit, train, and supervise a team of three members, promoting accountability, teamwork, and professional development.
  • Maintain and enhance client relationships by serving as the primary point of contact, addressing client needs promptly and professionally.
  • Implement and refine workflows and best practices to improve operational efficiency and patient satisfaction.
  • Monitor performance metrics and provide regular reports to identify areas for improvement and ensure compliance with healthcare regulations.
  • Coordinate appointment scheduling, patient registration, insurance verification, prior authorizations, referrals, and follow-up communications.
  • Manage the use and maintenance of Electronic Health Records (EHR), Practice Management Systems (PMS), patient portals, and other healthcare software tools.
  • Ensure accurate and timely documentation in line with medical and dental terminology and insurance process requirements.
  • Facilitate effective communication among patients, healthcare providers, insurance companies, and administrative staff through phone, email, and messaging platforms.
  • Address operational challenges with problem-solving skills and multitask effectively in a fast-paced healthcare environment.
  • Support the growth initiatives of client practices by identifying opportunities to enhance service delivery and operational performance.
  • Adhere to all regulatory requirements governing healthcare practice management and patient privacy.
