We are searching for health care customer service representatives to join our bustling organization.

  • Tasks can include patient intake paperwork, setting appointments, sending and receiving correspondence, data entry, and maintaining referral files.
  • Efficiently updates and verifies patient demographics, insurance and contact information, and assists customers in completing necessary forms to meet regulatory and billing needs prior to receiving clinical care. Scans necessary paperwork and educates patient on financial assistance.
  • Thoughtfully directs patients on next steps and informs patients about delays and wait times.
  • Promptly schedules appointments utilizing provider templates and scheduling guidelines.
  • Proactively requests payments from patients on current and past medical services.

Duties include, but are not limited to:

  • Scheduling new and established participants.
  • Answers the telephones by the third ring in a friendly, professional manner.
  • Monitors and handles all participant assessment and continuous care appointments.
  • Assists with coordination of day-to-day front office check-in operations to ensure exceptional patient data.
  • Assists with chart preparation, checking out patients and schedules future appointments as ordered.
  • Uses customer service principles and techniques to deal with patients, physicians and medical office staff calmly and pleasantly.
  • Ensuring participants are aware of upcoming appointments and are reminded on a regular basis to ensure appointments are kept or rescheduled in a timely manner.
  • Identifying issues that may prevent a participant from attending scheduled appointments; and communicating solutions to management and participant.
  • Reviewing schedule and identifying challenges and developing a plan for resolution.
  • Pulling files, determining multi-level scheduling needs for maximum participant engagement and satisfaction.

Experience Requirement:

  • Minimum two years of experience in an appointment scheduling position, preferably in a medical office setting.
  • Minimum of one (1) year of documented experience working with a frail or elderly population.
  • Knowledge of medical terminology.
  • Strong written and verbal communication skills
  • Ability to communicate calmly and diplomatically with customers, co-workers, and visitors
  • Keen attention to detail, especially involving checking forms and documents for proper information
  • Working knowledge of Microsoft Office Suite or similar software
  • Proficient in customer service
  • Knowledge of medical insurance procedures
  • Active listening and comprehension skills
