Responsible to: Head of Programmes

Purpose of the Post:

The purpose of this position is to provide overall support to programme design, implement and monitor entire humanitarian and development projects and build key network for growth and expansion of MAP activities in KPK.

Main Responsibilities

·         Maintain and store all records in line with MA document management and IT policies.

·         Any other duties commensurate with the accountabilities of the post.

Major Responsibilities

Programme Development

1.      To be responsible for the planning, organisation, implementation, budget management, and reporting.

2.      To provide a continuous assessment of the situation of beneficiary communities and advising on long-term appropriate MA interventions in KPK.

3.      To design and prepare proposals for long-term programme interventions and seek/or identify sources of funding for new programmes.

4.      To ensure effective technical support of the programme including the development of effective reporting system.

Networking and Coordination with all stakeholders

1.      Create strong ties with KPK Government / UN agencies and INGO’s working in KPK, develop good rapport of Muslim Aid Pakistan and create partnerships in humanitarian and development projects.

2.      Represent Muslim Aid Pakistan on various forums (DRR/UNWOMEN/UNOCHA/WASH CLUSTER/CHILD RIGHTS / SOCIAL WELFARE/ Education, Health and nutrition and Shelter/NFIs)

3.      Develop strong relationships with PDMA, FDMA and other government line agencies.

4.      Responsible to participate in NWA WASH cluster meeting in Bannu.

5.      Develop alliance/networking and establish partnership with likeminded INGOs, academia and govt department.  

Implementation, Monitoring & Learning in KPK

1.      Implement and monitor entire activities of humanitarian and development projects in KPK.

2.      In case of Emergencies, carry out rapid need assessments with Government of KPK and or UNOCHA. Implement projects of emergencies i.e. floods TDPs rehabilitation / in different districts of KPK.

3.      Monitoring Implementing Partners Performance, submission of completion reports and checked level of transparency. Evaluate IP work impact to potential community and conduct gap analysis.

4.      Initiate new innovative ideas and generate concept notes around Disaster preparedness, Education, WASH, Health and Livelihood.

5.      Develop partnership with Provincial Disaster Management Authority, Education, Health and initiate joint projects on disaster preparedness, Education and Health

6.      Initiate joint proposals with govt departments including PDMA, ministry of Education and Health.

7.      Participate in integrated strategic planning with CO and help identify future project opportunities for MA.

8.      Make periodic/monthly monitoring visits to the field and target areas to ensure smooth and timely implementation of the project activities and to provide technical assistance and troubleshoot along with staff.

9.      Ensure all reports from the field sites are received and submitted on time to MEAL Manager, as needed.

10.      Help to evaluate projects as per the agreed tool planned in the work plans / utilize the results for improvement in the project and future projects of the same nature.

11.      Maintain project documentation as detailed by project protocols and individual project contract requirements

12.      Prepare qualitative and quantitative project progress reports to be shared with the relevant program lead.

Financial Management of MAP Provincial Hub KPK/ Support to Country Admin Department

1.      Ensure timely submission of all relevant field expenses to country office.

2.      Supervise proper Petty Cash / Bank Book and Cash Book to be forwarded to accounts department. Ensure submission of Monthly Bank statement to country office.

3.      Support to admin department for finalizing of potential vendor / submission of timely PRF as requested by field / collection of quotations.

4.      Ensure submission of financial reports of all implemented projects.

5.      Establish/explore MA office arrangement with INGO/NGOs 

  IP (Implementing Partner) Management

1.      Monitor IP in field and evaluate their performance as per approved BOQ’s and outcome.

2.      Ensure to submit timely progress reports / completion reports from IP.

3.      Ensure effective utilisation of funds from IP, make sure the transparency of work as per signed agreements.

MAP Promotion and Visibility in KPK

1.      Create Donors linkages through individual philanthropist / corporate sector and INGO’s (Partners INGO’s and NGO’s) / UN Agencies working in KPK.

Organize Events for Muslim Aid Visibility, awareness campaigns, fund-raising campaigns for MAP Program expansion and promotion.
