This position involves providing comprehensive administrative and clerical support to ensure the smooth operation of the office. The role requires maintaining organized records, managing correspondence, and assisting with routine office tasks. The ideal candidate will be detail-oriented, capable of handling multiple responsibilities efficiently, and committed to maintaining confidentiality and accuracy in all duties.

Key Responsibilities

- Maintain and organize office records, files, documents, and correspondence in both physical and electronic formats.
- Perform data entry, document preparation, photocopying, scanning, printing, and filing as required.
- Receive, record, distribute, and dispatch incoming and outgoing mail, letters, and official documents.
- Maintain attendance, leave, stationery, visitor, and other routine office registers.
- Provide general administrative and clerical support to the department and supervisors.
- Prepare routine letters, memos, reports, lists, statements, and other official documents.
- Handle routine telephone calls, emails, visitors, and internal correspondence professionally.
- Monitor and maintain office stationery and supplies, including records of issuance and replenishment requirements.
- Assist in scheduling meetings, maintaining calendars, preparing meeting materials, and arranging refreshments and logistics when required.
- Ensure confidentiality, accuracy, and proper custody of official documents and information.
- Coordinate with relevant departments for the movement, submission, and follow-up of documents and files.
- Perform other clerical and administrative duties assigned by the supervisor from time to time.

Required Qualifications

- Proven experience in office administration or a related clerical role.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Proficiency in data entry and document management, including familiarity with photocopying, scanning, and filing systems.
- Excellent communication skills, both written and verbal, to handle correspondence and interact professionally with visitors and colleagues.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Competency in using office software and equipment.
- Attention to detail and accuracy in preparing official documents and maintaining records.

Preferred Qualifications and Benefits

- Prior experience in scheduling meetings and managing office logistics is advantageous.
- Familiarity with maintaining various office registers and inventory management is preferred.
- The position offers a monthly salary ranging from Rs50,000.00 to Rs55,000.00.
