Better It for Less is seeking a dedicated Business Manager to oversee the company’s back-office functions, including accounting, client billing, and human resources. This full-time, remote position requires a hands-on professional who will manage day-to-day operations, ensuring accurate bookkeeping, timely invoicing and collections, and smooth HR processes such as payroll and onboarding. Reporting directly to the owner, the Business Manager will be the key point of contact for the company’s operational workflow and play a critical role in maintaining financial accuracy and employee support.
Key Responsibilities
Accounting:
Maintain the general ledger by recording transactions, categorizing expenses, and reconciling bank and credit card accounts monthly. Manage accounts payable by processing vendor bills, scheduling payments, and tracking costs related to software, hardware, and licenses. Close the books each month and prepare financial statements including profit & loss, balance sheets, and cash flow summaries for the owner. Monitor budgets versus actuals and highlight any variances promptly. Prepare documentation for the external CPA and assist with year-end close, tax filings, and 1099 forms. Ensure timely filing of sales tax and other required returns.
Billing and Collections:
Generate and send invoices for managed services contracts, project work, hourly support, and hardware sales. Maintain accuracy in recurring billing by verifying contract terms, user and device counts, and price adjustments. Reconcile time entries and license counts against client billing. Manage accounts receivable by following up on overdue invoices, applying payments, and reporting on aging. Address client billing inquiries professionally and resolve any disputes efficiently.
Human Resources:
Run payroll accurately and on schedule, including managing timesheets, paid time off, and deductions. Administer benefits enrollment and updates. Handle onboarding and offboarding processes, including preparing offer letters, completing I-9 and W-4 forms, and coordinating access requests with the technical team. Maintain personnel files, update the employee handbook, and ensure HR policies are current. Track compliance with required postings, workers’ compensation, and federal and state employment regulations. Support recruitment efforts by posting job openings, screening candidates, and scheduling interviews.
Business Operations:
Manage relationships with vendors and distributors, including contracts and renewals. Maintain business insurance, licenses, and registrations. Continuously improve back-office processes and documentation to ensure tasks are repeatable and efficient. Prepare reports and key performance indicators (KPIs) used by the owner to manage the business.
