The Operations Coordinator is a crucial link in ensuring efficient scheduling, prioritization, and resource allocation within CBRE. This role supports staff decision-making to meet customer requirements while maintaining smooth operational workflows. The coordinator closely monitors work order progress and customer satisfaction, ensuring that service delivery aligns with organizational standards and client expectations.

Key Responsibilities

Utilize the Computerized Maintenance Management System to manage work order histories, track job statuses, and monitor repair costs. Track and report daily Service Level Agreement compliance, sharing results with both CBRE and client management. Monitor and distribute KPI scorecards on a fortnightly basis, while compiling monthly KPI data for client reporting. Ensure KPI scorecards are updated monthly on the myvantage portal.

Create Purchase Requisitions and Purchase Orders for OPEX invoices monthly. Collect and consolidate “Completed Not Billed” reports for OPEX and CAPEX work orders at month-end, sharing insights with field teams and management. Onboard new customers and contractors onto CBRE’s Myservice and MyWork portals, promoting active portal usage among users.

Generate management reports covering work backlog, L3 performance, equipment repair history and costs, trouble calls, work orders, and customer satisfaction metrics. Identify process improvement opportunities by analyzing work order flow and project demands. Review utilization and cost data to recommend corrective actions aimed at cost reduction.

Create new site IDs and assets in the FMP Maximo system for newly constructed retail sites and update network sheets accordingly. Conduct monthly reviews of network sheets, including NERA rating updates, and share findings with the team and management. Coordinate travel arrangements for team members, including boarding, lodging, and transportation.

Create and track Purchase Orders via MyBuy (Coupa) for account-based expenditures such as travel, accommodations, and training. Onboard new joiners related to back-office operations and initiate timely access requests for relevant portals. Provide backup support as a call centre representative during peak periods or staff absences.

Ensure timely completion of corrective actions for non-conformances identified in audits, aiming for zero repeat findings. Report any service shortcomings affecting guest experience to line management. Comply with the Business Continuity Plan and support continuous improvement initiatives. Adhere to all company policies, procedures, and health and safety standards. Perform additional duties as assigned by Line of Management or Contract Delivery Manager.

Required Qualifications

Strong customer service skills with experience in high-profile environments and a service-oriented mindset focused on proactive problem-solving. Proficiency in Microsoft Word, Excel, PowerPoint, and familiarity with CNNS, with the ability to quickly learn new software platforms. Excellent memory for names and details, with the ability to deliver services to the highest standards.

Demonstrated teamwork skills within customer service teams and service providers, along with the ability to manage service disruptions to maintain business continuity. Self-motivated with excellent time management and organizational abilities. Good interpersonal skills and fluency in English and Urdu, both verbal and written.

A graduate from a reputable university or college, or accredited by a relevant professional body. Three to five years of progressive experience in scheduling, planning, or related fields. Approachable and collaborative across all organizational levels. Experience and understanding of OMC business operations is an asset, along with working knowledge of Facilities and Project Management.
