The Operations Intern will provide essential day-to-day support to the Senior Manager of Global Operations at Al Rafay Consulting (ARC). This role involves assisting with operational tasks, auditing company repositories to ensure accuracy, preparing and organizing documentation, and maintaining both physical and digital filing systems. The intern will help ensure smooth operational workflows and accurate record-keeping in a professional consulting environment. This position is ideal for final-year students or recent graduates seeking practical experience in corporate operations, documentation standards, and records management. The intern will work onsite at the Karachi office for nine hours a day, five days a week, over a three-month period, with the possibility of extension based on performance and business needs. Confidentiality and discretion in handling company information are paramount.

Key Responsibilities

Operations Support:
- Complete assigned tasks accurately and on time, reporting progress and any issues promptly.
- Maintain a task list and follow up with internal teams on pending documents and approvals.
- Draft routine correspondence, notes, and summaries for managerial review.
- Schedule meetings, manage calendars when delegated, and prepare meeting materials.
- Record minutes during operations meetings and track action items until completion.
- Submit weekly status reports covering task progress, repository audits, and outstanding items.

People Operations Support:
- Compile attendance reports and identify discrepancies against timesheets for review.
- Prepare onboarding and offboarding documents, including ID cards, access passes, and asset forms.
- Follow up with employees on pending submissions and update records accordingly.
- Track employee acknowledgments of new or revised policies and ensure timely sign-offs.

Repository Audit & Correction:
- Audit assigned repositories for completeness, accuracy, structure, and compliance with ARC standards.
- Correct discrepancies such as missing, outdated, misfiled, duplicated, or incorrectly named records.
- Maintain an audit log detailing reviews, issues, corrections, and pending items.
- Escalate discrepancies requiring owner input before making corrections.

Documentation & Data Entry:
- Prepare, format, and proofread documents, forms, and trackers using Microsoft Word and Excel per ARC templates.
- Perform accurate data entry and keep administrative trackers updated.
- Scan and digitize physical documents, ensuring completeness and legibility before filing.
- Collate supporting documents and approvals for managerial review.
- Draft and update standard operating procedures (SOPs) and process documents for routine tasks.

Filing & Records Management:
- Maintain organized physical and digital files using ARC’s naming conventions on SharePoint/OneDrive.
- File, index, archive, and retrieve records promptly upon request.
- Track document movement and maintain logs of issued, received, or returned records.
- Identify and report missing or incomplete records to the Line Manager.

Office & General Support:
- Handle routine office duties such as printing, photocopying, scanning, courier dispatch, and interdepartmental document delivery.
- Monitor office supplies and initiate timely replenishment requests.
- Maintain the company asset and inventory register, tracking issued and returned items and flagging overdue returns.
- Assist with coordination involving vendors, couriers, and service providers as directed.

Confidentiality & Compliance:
- Handle personnel, attendance, financial, and client information with strict confidentiality, sharing only on a need-to-know basis.
- Adhere to ARC policies related to attendance, timesheets, information security, and acceptable use of company assets.

Required Qualifications
- Final-year student or recent graduate in B.Com, BBA, BS, or a related discipline.
- Availability to work onsite in Karachi for a full nine-hour shift, five days a week, throughout the internship.
- Prior internship, part-time, or administrative experience is advantageous but not mandatory.

Required Skills & Competencies
- Proficiency in Microsoft Word, Excel, and Outlook.
- Clear written and spoken English communication skills.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- High attention to detail in data entry, formatting, and filing.
- Discretion and sound judgment when handling confidential information.
- Professionalism, punctuality, reliability, and willingness to perform routine tasks.

Preferred Qualifications and Benefits
- Familiarity with SharePoint, OneDrive, and Microsoft Teams.
- Experience with auditing, reconciling, or organizing document repositories.

Compensation: Rs 45,000 per month
