The Operations Officer at the Association for Gender Awareness & Human Empowerment (AGAHE) will play a vital role in ensuring the seamless execution of the organization’s administrative, operational, programmatic, and compliance activities. This position involves close coordination between the Head Office and field offices to ensure timely completion of tasks, proper record-keeping, and prompt resolution of operational challenges. The role requires supporting various departments to maintain smooth workflows, meet deadlines, and facilitate effective communication across teams.

Key Responsibilities

- Coordinate daily operational activities between the Head Office and field offices, supporting the implementation of project workplans and organizational strategies.
- Manage office administration, including logistics, travel arrangements, meeting coordination, accommodation, transport, and event support for trainings, workshops, donor visits, board, and management meetings.
- Monitor office supplies, equipment, and operational needs in accordance with the stock register.
- Maintain centralized filing systems for administration, logistics, supplies, and fixed assets.
- Maintain regular communication with field offices and unit heads; coordinate field visits for management, donors, government officials, and auditors; identify and report operational bottlenecks at the field level.
- Assist HR with staff coordination, including organizing trainings, internal meetings, and field movements as required.
- Maintain a task tracker to monitor management decisions, project deadlines, and departmental follow-ups, ensuring timely completion of assigned tasks.
- Oversee office facilities management, including utilities, maintenance, security, and general services.
- Manage vehicle scheduling, logbooks, fuel consumption, maintenance, and related documentation.
- Ensure proper issuance, receipt, storage, and distribution of supplies and equipment to staff.
- Uphold staff and office equipment safety and security in line with organizational policies.
- Perform additional operations and administrative duties as assigned by the supervisor.

Required Qualifications

- Master’s or Bachelor’s degree in Business Administration, Public Administration, Supply Chain Management, or a related field from an HEC-recognized university or institute.
- A minimum of 1 to 2 years of relevant experience in NGO operations, logistics, office administration, or supply chain management.
- Proven experience in coordinating activities between Head Office and field teams.

Skills and Competencies

- Strong skills in operations, logistics, office administration, security, and supply chain management.
- Proficiency in MS Word, Excel, email, and basic office systems.
- Ability to manage multiple tasks and competing deadlines efficiently.
- Effective communication skills and the ability to collaborate with cross-functional and field-based teams.
- Understanding of safety, security, safeguarding, and field operations.
- Willingness and ability to travel to field offices as required.

Preferred Qualifications and Additional Information

- Preference will be given to candidates with prior experience coordinating operations across Head Office and field teams within NGO, INGO, or UN sectors.
