Job Profile:

 PSW is looking to hire an energetic Manager Admin & Security to organize and coordinate office operations and procedures. The incumbent will ensure that processes are designed to achieve efficiency and effectiveness.  The candidate most suited for this position will have the expertise to meet tight deadlines, can handle pressure, can multi-task and is a go-getter who can achieve results even with minimum support. The candidate should have experience in managing a wide range of administrative and executive support-related tasks and will be able to work independently with little supervision.

 Duties and Responsibilities:

  • Develop and implement Admin & Security policies, and procedures.
  • Prepare Annual Admin department budget, CAPEX by forecasting and liaising with all departments.
  • Control budgets for Admin & Security operations and monitor expenses.
  • Develop and deliver capacity-building programs for the Admin team including all support staff.
  • Manage the Admin team by providing them full support in achieving their targets/KPIs.
  • Assessing staff performance and providing coaching and guidance to ensure maximum efficiency.
  • Plan, manage and coordinate Admin & Security operations for specific events.
  • Coordinate with staff when responding to emergencies and alarms.
  • Review reports on incidents and breaches and investigates and resolve issues.
  • Create various reports for Management on Admin & Security status.
  • Supervising and planning the execution of renovation/constructions works as per the given timeline.
  • Strong coordination with all departments to provide logistics support
  • Manage relationships with vendors, suppliers & service providers
  • Ensure proper documentation & record keeping of day to day operations
  • Dealing with Assets insurance Company for reimbursement and insurance processes.
  • with attention to budgetary constraints.
  • Oversee facilities services, maintenance activities, lease agreements/renewals, etc.
  • Verification of all expense bills of Karachi Office and Head Office including utilities, rentals, etc.
  • Maintaining & Monitoring inventory of office supplies and the purchasing of new material, the administrative stock (Stationary, maintenance tools, First Aid kit, Uniforms, etc) and updating the stock report.
  • Coordinating and liaising with third-party vendors regarding staff issues. Also managing and monitoring their daily work schedules.
  • Arrange events, travel and accommodations as and when required.
  • Ensure office requirements are fulfilled and maintenance and safety standards of office premises are up to acceptable standards.
  • Handling petty cash and settling all payments in defined time limits
  • Any other tasks assigned by the Head of HR & Admin.

Qualifications, Experience & Technical Competencies:

  • Preferably a Master’s degree or at least Bachelors in Business Administration, / Public Administration/ Social Sciences or related field.
  • 8 to 10 years of relevant experience.
  • Proficient in MS Office, Project Management tools, SAP, Oracle, Sharepoint etc.
  • Excellent written and communication skills.
  • Maximum Age 45 years.

Base of Operation:

Karachi with occasional traveling to Islamabad and other major cities.

Pakistan Single Window (PSW) is an ICT-based system in Pakistan providing a single window for trade. PSW is a facility that allows parties involved in trade and transport to lodge standardized information and documents at a single-entry point to fulfill all import, export, and transit-related regulatory requirements. If information is electronic, then individual data elements need to be submitted only once. PSW will connect relevant government departments with each other and with economic operators like importers, exporters, customs agents, shipping agents, transporters etc, in Pakistan for efficient management of cross border trade. It will provide the ease and transparency in achieving compliance with relevant regulatory requirements, through an on-line facility, that will intelligently handle the information for each transaction without the need to provide same information more than once or to physically visit such government departments. Pakistan also needs PSW implementation to overhaul management of its external trade for reducing time, cost and complexity involved to improve its position in various global rankings on competitiveness and ease of doing business.
