Moonlight International Publishers is seeking a professional, organized, proactive, and trustworthy Personal Assistant to support the Managing Director (M.D.). This role involves close collaboration with the Managing Director to efficiently manage schedules, coordinate meetings, handle official communications, prepare reports, and organize travel arrangements. The successful candidate will play a vital role in ensuring smooth executive operations and maintaining confidentiality at all times.
Key Responsibilities
- Manage the Managing Director’s daily schedule, including appointments, meetings, and official commitments.
- Coordinate and schedule meetings with internal teams, clients, partners, and other stakeholders.
- Prepare and maintain official documents, reports, presentations, correspondence, and records.
- Professionally handle emails, phone calls, messages, and other official communications.
- Follow up with relevant departments and personnel on tasks assigned by the Managing Director.
- Provide timely updates on pending tasks, meetings, projects, and follow-ups.
- Prepare regular reports, summaries, task updates, meeting notes, and status reports as required.
- Maintain organized records of meetings, assignments, correspondence, travel activities, and important follow-ups.
- Travel with the Managing Director for official business trips, meetings, conferences, and events when necessary.
- Coordinate official travel arrangements, including transportation, accommodation, itineraries, and logistics.
- Assist the Managing Director during travel with scheduling, documentation, communication, and coordination.
- Prepare travel schedules, itineraries, expense records, and post-travel reports as needed.
- Attend meetings alongside the Managing Director, recording key discussion points and action items.
- Assist in preparing presentations, reports, documents, and other business materials.
- Maintain strict confidentiality of the Managing Director’s personal, business, financial, operational, and other sensitive information.
- Ensure secure handling and sharing of confidential documents only with authorized individuals.
- Demonstrate professionalism and discretion when interacting with senior management, employees, clients, and external contacts.
- Perform other administrative and professional tasks as assigned by the Managing Director.
Required Qualifications
- Bachelor’s degree in any field.
- 1–2 years of relevant experience as a Personal Assistant, preferably supporting a Managing Director, CEO, Director, or senior executive.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in MS Office applications (Word, Excel, PowerPoint) and email communication.
- Ability to prepare professional reports, documents, and presentations.
- Strong follow-up and coordination skills.
- Capability to manage multiple tasks and meet deadlines effectively.
- Willingness and flexibility to travel with the Managing Director for official work when required.
- Professional attitude, punctuality, discretion, and a strong sense of responsibility.
- Ability to maintain strict confidentiality regarding sensitive business and personal information.

Salary ranges from PKR 45,000 to 50,000 per month. The position offers a professional working environment with opportunities to work closely with senior management and participate in official travel as required. This role is based on-site and demands a high level of commitment and professionalism.
