The role involves overseeing the receipt, storage, and distribution of pharmaceuticals and medical supplies across hospital locations. The incumbent will ensure accurate inventory management, maintain compliance with regulatory standards, and support the smooth operation of pharmacy services. This position requires close monitoring of stock levels, quality control, and coordination with various departments to guarantee timely availability of medicines while preventing stock-outs and overstocking. The individual will also supervise staff, conduct training, and maintain thorough documentation for audits and inspections.

Key Responsibilities

- Supervise the receipt, storage, and distribution of pharmaceuticals and medical supplies within hospital facilities.
- Ensure accurate stock records and maintain inventory levels using the warehouse management system.
- Monitor stock rotation applying FIFO (First In First Out) and FEFO (First Expiry First Out) principles to minimize waste.
- Conduct periodic stock counts and perform inventory reconciliation to ensure data accuracy.
- Maintain appropriate storage conditions for medicines, including temperature, humidity, and safety requirements.
- Oversee cold chain management for temperature-sensitive medications to preserve efficacy.
- Inspect incoming pharmaceutical supplies for quality assurance, expiry dates, and compliance with purchase orders.
- Coordinate the timely supply of medicines and consumables to pharmacy outlets, wards, and various departments.
- Monitor stock requests and ensure prompt fulfillment to avoid shortages or excess inventory.
- Implement proper planning and forecasting to prevent stock-outs and overstocking.
- Ensure compliance with pharmacy regulations, hospital policies, and drug storage standards.
- Maintain accurate documentation for audits, inspections, and regulatory compliance.
- Monitor the handling and disposal of expired or damaged medicines in accordance with regulatory guidelines.
- Keep detailed warehouse records including stock registers, receiving logs, and dispatch records.
- Prepare inventory and consumption reports for management review.
- Supervise and monitor the activities of all reporting staff and conduct training sessions for junior team members.
- Perform any other duties assigned by the immediate supervisor that align with the incumbent’s knowledge and skills.

Required Qualifications

- Proven experience in pharmaceutical warehouse management or a related field within a healthcare setting.
- Strong knowledge of inventory control principles, including FIFO and FEFO.
- Familiarity with cold chain management and storage requirements for temperature-sensitive medications.
- Ability to conduct quality inspections and ensure compliance with regulatory standards.
- Excellent organizational skills and attention to detail for maintaining accurate records.
- Experience in supervising staff and conducting training sessions.
- Proficient in using warehouse management systems and preparing inventory reports.
- Understanding of pharmacy regulations, hospital policies, and drug storage standards.
