As a P.H.D Operations & Administrative Coordinator, you will play a vital role in supporting patient services while managing front desk operations and administrative workflows. This position involves close collaboration with the Patient Help Desk Manager to ensure smooth daily operations, process tracking, and effective communication between remote support teams and U.S.-based healthcare facilities. You will be responsible for handling high-priority inbound calls, scheduling overflow appointments, and maintaining strict compliance with patient data security standards.
Key Responsibilities
Front Desk Operations: Oversee comprehensive front desk and administrative functions for healthcare facilities based in the U.S., working remotely to ensure seamless service delivery.
Operational Support: Assist the Patient Help Desk Manager by tracking workflows, preparing reports, and distributing daily schedules to optimize team efficiency.
Process Navigation: Facilitate clear and efficient communication between remote support agents and medical offices in the U.S., helping to streamline operational processes.
Inbound Coverage: Manage high-priority inbound calls, handle overflow appointment scheduling, and respond to administrative inquiries as needed to maintain service quality.
Quality & Compliance: Ensure all patient data handling and communications comply rigorously with established security and privacy guidelines.
Required Qualifications
Education: A minimum of a Bachelor’s degree in Business Administration, Healthcare Management, or a related field is required.
Experience: Candidates should have 2 to 3 years of experience in administrative, operational, or customer support roles, preferably within an international call center or healthcare environment.
Communication Skills: Fluency in English with strong verbal and written communication abilities is essential. A North American accent is preferred to facilitate clear interaction with U.S.-based clients.
Technical Skills: Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, is necessary for data tracking and operational reporting.
Work Schedule: This role requires availability during night shift hours, specifically from 5:30 PM to 2:30 AM, Monday through Friday.
