Programme Officer

  • For supporting the efficient running of the Karachi office programme activities and administration. The duties and responsibilities of the Programme Officer are to diligently carry out the assignments listed as follows:

In Project Management 

  • Maintain the filing system of the project and keep information and references in a manner that allows easy retrieval
  • Receive, distribute and sends projects mail and correspondences, archive mail and files systematically 
  • Proactively support in arranging events, seminars, workshops, trainings and organize required context, material, equipment and invitation of participants and media
  • Meeting arrangements follow up, such as database update, seeking Power Point presentations & videos submission from presenters, writing minutes of events, making press clippings
  • Coordinate activities as per communication and visibility plan of PINS 1 and ensure adherence to EU visibility rules
  • Monthly back up of all project related documents, correspondences, minutes and reports and keep in database
  • Proactively support the organization schedule of appointments of Short term experts
  • Attend meetings when requested and produce minutes and reports, and typing of official memos
  • Assist in assembling briefing material, documentation and correspondence for the use in official meetings or missions

In Office Management 

  • Supervise and/or regularly update the telephone directory, addresses and lists of important contacts, answer and place official phone calls and provide oversight to the effective functioning of the IT and office equipment
  • Serve as Front Desk officer to the visitors and receive guests and direct them to the project staff members
  • Supervise and/or keep the office stamp and storage of stationery properly, ensure functionality of photocopier, engage in photocopying and scanning of documents and other methods of visualization and documentation
  • Support international staff in their visa and extensions’ documentation as guided by Office Manager (OM)
  • Supervise and/or engage in tracking stock, inventory, stationery & office supplies & inform OM to purchase
  • Any other duties assigned by the supervisor.

Minimum Requirements

  • University degree in a related field
  • Excellent computer skills (MS Office)
  • Familiar with IT and office equipment
  • Good liaison and communication skills
  • Attention to details and good reporting skills, including social media
  • At least 5 years of working in programme office and field, working experience in nutrition will be an advantage
  • Experience in similar position with EU projects is an advantage
