Greaves Air-conditioning (Private) Limited, a prominent member of the Ghulam Faruque Group, is a leading provider of comprehensive commercial HVAC solutions. We are currently looking for a dedicated Procurement Officer to join our team in Karachi. This role focuses on managing and optimizing procurement activities for HVAC projects by sourcing, negotiating, and procuring equipment and materials. The ideal candidate will ensure cost efficiency, quality compliance, and timely delivery to support smooth project execution.

Key Responsibilities
- Manage procurement of HVAC equipment and materials including chillers, AHUs, FCUs, VRF/VRV systems, compressors, motors, copper pipes, ducts, valves, filters, and refrigerants.
- Prepare and review Requests for Quotations (RFQs) and technical specifications to ensure accuracy and completeness.
- Evaluate supplier quotations and select vendors based on price, quality, delivery timelines, and compliance with project requirements.
- Negotiate pricing, payment terms, and delivery schedules with suppliers to secure favorable agreements.
- Issue and manage purchase orders (POs) efficiently while maintaining accurate records.
- Collaborate closely with maintenance, engineering, and project teams to understand material requirements and project timelines.
- Monitor supplier performance, maintain strong vendor relationships, and ensure timely delivery to prevent operational delays.
- Maintain comprehensive procurement documentation, contracts, and an up-to-date supplier database.
- Monitor inventory levels for HVAC spare parts and coordinate with the stores department to ensure availability.
- Identify cost-saving opportunities and explore alternative suppliers to optimize procurement processes.

Required Qualifications
- Bachelor’s degree or Diploma in Mechanical Engineering, Supply Chain Management, or Business Administration.
- Procurement or supply chain certification is considered an advantage.
- 2 to 3 years of procurement experience, preferably within the HVAC or MEP industry.
- Proven experience in sourcing HVAC spare parts and equipment, along with vendor management expertise.
- Strong knowledge of HVAC equipment and spare parts.
- Proficient in vendor negotiation, supplier management, procurement procedures, and contract management.
- Ability to analyze quotations and technical specifications critically.
- Excellent communication and coordination skills to work effectively across departments.
- Proficiency in ERP systems and Microsoft Excel for procurement tracking and reporting.

Preferred Qualifications
- Familiarity with major HVAC brands such as Daikin, Carrier, Trane, York, and LG is highly desirable.
