Project Coordinator – Night Shift

This full-time Project Coordinator position is based onsite in Islamabad or Rawalpindi, with no remote or hybrid work options. Candidates must currently live in the twin cities and be willing to work the night shift from 6:00 PM to 3:00 AM, Monday through Friday. The role involves close collaboration with the Project Manager to oversee a portfolio of over 40 US-based client projects, managing progress from onboarding through delivery and ongoing support. Strong English communication skills, professionalism, and excellent organizational abilities are essential to handle multiple projects simultaneously while maintaining attention to detail. A background in IT, Software Engineering, or Artificial Intelligence is preferred.

Key Responsibilities
- Work alongside the Project Manager to plan, coordinate, and monitor all active client projects, ensuring timelines, milestones, dependencies, and deliverables are accurately tracked and updated.
- Act as the primary liaison between clients and internal teams including Project Management, Technical, and Delivery, facilitating timely progress and resolving issues efficiently.
- Participate actively in daily client and internal meetings, including frequent video calls with cameras on, arriving prepared and organized.
- Manage a high volume of emails, messages, client requests, and follow-ups, responding promptly and professionally.
- Schedule meetings, prepare agendas, take detailed notes, and document decisions, action items, and responsible parties.
- Follow up with teams and clients to ensure completion of action items and adherence to deadlines.
- Monitor project health by identifying delays, blockers, and risks early, escalating concerns to the Project Manager as necessary.
- Maintain project documentation, trackers, and task boards within project management tools.
- Assist in tracking client satisfaction, gathering feedback, and supporting continuous improvements in delivery and client experience.
- Prepare and present regular project status reports and updates for internal stakeholders and the Project Manager.
- Support resource planning, prioritization, and other coordination tasks as assigned.

Required Qualifications
- Excellent spoken and written English with clarity, fluency, and confidence in professional communication.
- Polished and professional appearance suitable for meetings with US-based clients.
- Comfortable and confident appearing on camera during frequent video meetings.
- Strong organizational and time-management skills capable of handling multiple projects, back-to-back meetings, and a high volume of communications without compromising quality.
- Exceptional note-taking, documentation, follow-up, and multitasking abilities with keen attention to detail.
- Ability to coordinate across multiple teams, aligning priorities and deadlines effectively.
- Working knowledge of AI technology stacks and their application in client-facing solutions.
- Strong interpersonal skills, a proactive approach, and professionalism in managing client concerns and internal escalations.
- Willingness and ability to work onsite during night shift hours to align with US client schedules.
- Dependable, punctual, and efficient in a fast-paced work environment.

Preferred Qualifications and Benefits
- Previous experience as a Project Coordinator, Project Associate, or similar role within an IT agency or software house.
- Bachelor’s degree in IT, Computer Science, Software Engineering, Artificial Intelligence, or a related field.
- Hands-on experience with project management tools such as Linear, Jira, Asana, Trello, or ClickUp, as well as CRM and client communication platforms.
- Experience working with US-based or international clients.
- Background in technology, SaaS, AI, or service-delivery environments is advantageous but not mandatory.
