Project Coordinator – Night Shift

This is a full-time, onsite Project Coordinator role based in Islamabad, Pakistan, requiring candidates to currently reside in Rawalpindi or Islamabad. The position operates on a night shift schedule from Monday to Friday, 6:00 PM to 3:00 AM, aligning with US client time zones. The successful candidate will work closely with the Project Manager to oversee a portfolio of over 40 US-based client projects, ensuring smooth progress from onboarding through delivery and ongoing support. This role demands excellent organizational skills, strong communication in English, and a professional presence for frequent video calls. Candidates must be comfortable managing multiple projects simultaneously, coordinating between clients and internal teams, and maintaining detailed project documentation. A background in IT, Software Engineering, or AI is preferred.

Key Responsibilities
- Collaborate with the Project Manager to plan, coordinate, and track all active client projects, ensuring timelines and deliverables are met.
- Maintain an accurate and up-to-date overview of project status, milestones, dependencies, and deadlines.
- Serve as the liaison between clients and internal teams including Project Management, Technical, and Delivery to keep work on schedule.
- Participate in daily client and internal meetings, including regular video calls with cameras on, prepared and organized.
- Manage a high volume of emails, messages, client requests, and follow-ups, responding professionally and promptly.
- Schedule meetings, prepare agendas, take detailed notes, and document decisions and action items.
- Follow up with teams and clients to ensure completion of tasks and adherence to deadlines.
- Monitor project health, identify risks or blockers early, and escalate issues to the Project Manager as needed.
- Maintain project documentation, trackers, and task boards using project management tools.
- Assist in tracking client satisfaction, gathering feedback, and supporting improvements in delivery and client experience.
- Prepare and present regular project status reports and updates for internal stakeholders.
- Support resource planning, prioritization, and other coordination tasks as required by the Project Manager.

Required Qualifications
- Fluent spoken and written English with clarity and confidence in professional communication.
- Polished and professional demeanor suitable for meetings with US-based clients, including appropriate attire.
- Comfortable appearing on camera regularly and maintaining a professional presence during video calls.
- Strong organizational and time-management skills, capable of handling multiple projects and a busy meeting schedule without compromising quality.
- Excellent note-taking, documentation, follow-up, and multitasking abilities with close attention to detail.
- Ability to coordinate across multiple teams and align priorities and deadlines effectively.
- Working knowledge of AI technology stacks and their application in client-facing solutions.
- Strong interpersonal skills, proactive attitude, and ability to manage client concerns and internal escalations professionally.
- Willingness and ability to work onsite during the night shift hours of 6:00 PM to 3:00 AM.
- Dependable, punctual, and effective in a fast-paced environment.
- Must currently live in Rawalpindi or Islamabad; relocation is not provided.

Preferred Qualifications and Benefits
- Previous experience as a Project Coordinator, Project Associate, or similar role within an IT agency or software house.
- Bachelor’s degree in IT, Computer Science, Software Engineering, Artificial Intelligence, or a related field.
- Hands-on experience with project management tools such as Linear, Jira, Asana, Trello, or ClickUp, as well as CRM and client communication platforms.
- Experience working with US-based or international clients.
- Background in tech, SaaS, AI, or service delivery environments is advantageous but not mandatory.
- Salary range: PKR 50,000 to 100,000 per month.
