The REC Administrator is a vital support role within the project sales team, responsible for managing a variety of administrative and operational tasks that ensure smooth and efficient sales processes. This position involves maintaining accurate sales records, coordinating documentation, tracking bookings and payments, and facilitating communication between sales personnel, management, clients, and other departments. The REC Administrator plays a key role in supporting sales activities by keeping information organized and up to date, enabling the team to focus on achieving their sales targets.
Key Responsibilities
Maintain and update comprehensive project sales records, including client details and related information. Prepare and manage various reports such as sales reports, daily activity logs, and file status updates to keep the team informed. Coordinate closely with Sales Executives, Sales Managers, and Project Management teams to support ongoing sales activities and ensure alignment. Keep detailed records of bookings, cancellations, transfers, payments, and commissions, ensuring all data is accurate and up to date. Organize and file all client and booking documentation systematically for easy retrieval and audit purposes. Follow up on pending documents, payments, and approvals to maintain workflow continuity and avoid delays. Regularly update CRM and ERP systems to reflect accurate sales data and client interactions. Assist the sales team by preparing quotations, booking forms, payment plans, and other necessary project documents. Liaise with Accounts and Recovery departments regarding client payments and outstanding balances to support financial tracking. Prepare management reports related to project sales performance to aid in review and decision-making. Maintain strict confidentiality of all client and company information, safeguarding sensitive data. Perform additional administrative duties as assigned by management to support overall team efficiency and effectiveness.
Required Qualifications
Proficiency in MS Excel and MS Office applications is essential for managing data and preparing reports. Strong skills in documentation and record-keeping are required to ensure data accuracy and organization. Excellent communication and coordination abilities are necessary to work effectively with multiple stakeholders across departments. High attention to detail and accuracy in handling sales files and documentation is critical. Ability to manage multiple sales files simultaneously and consistently meet deadlines is expected.
Preferred Qualifications
Previous experience in real estate or project sales administration will be considered an advantage, providing familiarity with industry-specific processes and terminology.
Work Location
