Our client, a new upcoming commercial bank, is seeking a highly organized and responsible Secretary to CEO. This role requires managing the CEOs calendar, coordinating meetings, including board engagements, and ensuring seamless intra-company communication on behalf of the CEO. Strong multitasking skills are essential to handle dynamic scheduling demands, maintain confidentiality, and uphold internal compliance standards. The ideal candidate demonstrates polished professionalism with excellent communication skills in both Urdu and English. This position is based onsite in Islamabad, operating from 9 AM to 6 PM with weekends off, and requires at least four years of experience in an executive support capacity. The Secretary to the Bank CEO plays a vital role in facilitating effective communication and coordination between the CEOs office and various departments. The role demands a detail-oriented individual who takes ownership of responsibilities and maintains discretion at all times. Along with managing extensive calendar commitments, they record precise meeting minutes and support board coordination activities. This position is designed for a self-motivated professional with a well-groomed appearance and the ability to communicate clearly and courteously, supporting the leadership in achieving organizational objectives.


Responsibilities
  • Manage and maintain the CEOs calendar, scheduling appointments and meetings efficiently.
  • Coordinate Board meetings, prepare agendas, and take accurate meeting minutes.
  • Facilitate intra-company communication to ensure smooth coordination among departments for the CEOs initiatives.
  • Handle executive correspondence and prepare professional communications in both Urdu and English.
  • Ensure strict confidentiality and exercise discretion when dealing with sensitive information and executive matters.
  • Monitor and support internal compliance requirements relevant to the CEOs office and organizational policies.
  • Organize travel arrangements and logistical support for the CEO as needed.
  • Maintain professionalism in appearance and communication to represent the CEOs office appropriately.
  • Take responsibility and demonstrate accountability in completing tasks without direct supervision.
  • Assist in managing deadlines and prioritizing tasks to support the CEOs effective time management.
  • Provide support during company events and initiatives requiring the CEOs involvement.
  • Maintain filing systems and records related to the CEOs office, ensuring documents are accessible and organized.
