The Sales Support & Operations Executive is a vital member of the team, responsible for supporting the sales function and managing backend operations within a dynamic trading or manufacturing environment. This role involves handling order processing, preparing necessary documentation, coordinating with suppliers and customers, and ensuring seamless execution of trade transactions to meet business objectives.
Key Responsibilities
- Support the sales team by preparing quotations, entering orders, and managing sales documentation.
- Coordinate with customers to guarantee timely delivery and accurate order fulfillment.
- Prepare and manage sales orders, purchase orders, proforma invoices, and delivery notes efficiently.
- Monitor inventory levels and collaborate with the logistics team to plan dispatch schedules.
- Track shipments and manage import/export documentation and compliance requirements when applicable.
- Maintain and update customer databases, pricing records, and product catalogs to ensure accuracy.
- Assist in the preparation of sales reports, forecasts, and key performance indicators for management review.
- Liaise with the finance department for invoicing, payment follow-ups, and credit management.
- Address and resolve customer queries, complaints, and post-sales issues promptly.
- Support continuous operational process improvements to enhance overall efficiency.
Required Qualifications
- Bachelor’s degree in Business Administration or a related field.
- Minimum of 2 years’ experience in a sales support or operations role, preferably within the trading industry.
- Strong understanding of trading processes, order cycles, and commercial documentation.
- Proficiency in MS Office applications (Excel, Word, Outlook) and ERP/CRM systems.
- Excellent coordination, communication, and organizational skills.
- High attention to detail with the ability to multitask and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Knowledge of supply chain and logistics processes.
- Familiarity with trading activities in commodities, industrial goods, or FMCG sectors.
