Senior Executive Export

The Senior Executive Export at Samad Rubber Works plays a critical role in managing and coordinating the export operations to ensure smooth and efficient export documentation and logistics processes. This position is responsible for handling manual and online bookings of export orders, preparing and submitting export customs documents, and coordinating with clearing agents to verify shipping documents. The role requires strong collaboration with various stakeholders such as freight forwarders and the accounts department to manage payments, bank certificates, and documentation processing. The incumbent supports supply chain management activities through accurate and timely management of transport details, export invoices, and rebate records using SAP and Excel tools. With a focus on export documentation and logistics coordination, the Senior Executive Export ensures compliance with export procedures and works closely with insurance companies and banks to secure necessary certificates and approvals. The role demands expertise in export compliance, freight forwarding software, and a thorough understanding of ERP systems, especially SAP. Although this role does not manage a team, it requires self-driven coordination and communication capabilities to ensure all export activities align with contractual and legal requirements, contributing to the companys global trade success.
Responsibilities

• Manage both manual and online booking processes for export orders to ensure accuracy and timeliness.
• Prepare and submit all necessary export customs documents in compliance with regulatory requirements.
• Coordinate with clearing agents to verify Bill of Lading (BL) and Goods Declaration (GD) drafts for accuracy.
• Manage bank certificates and No Objection Certificates (NOCs) required for dispatch and clearance processes.
• Collect original House Bill of Lading (HBLs) and Airway Bills (AWBs) from freight forwarders after vessel or flight sailing.
• Prepare and compile final export documentation as per Letter of Credit (LC) or contract specifications for bank submission.
• Maintain accurate rebate records using SAP and Microsoft Excel, ensuring data integrity and audit readiness.
• Collect weekly Master Bills of Lading (MBLs) for Less than Container Load (LCL) shipments and ensure their proper management.
• Allocate, verify, and coordinate export-related bills with relevant internal and external stakeholders to streamline the billing process.
• Enter export invoices accurately into SAP to ensure financial records are maintained correctly and facilitate timely payments.
• Organize and maintain comprehensive filing systems for all export shipment documentation to support compliance and operational efficiency.
• Process expense bills related to export activities and coordinate with the accounts department for prompt payment and reconciliation.
• Share transport details promptly with the insurance company post shipment movement to ensure coverage and claims processing.
• Utilize freight forwarding software to enhance export operations, tracking, and documentation management.
• Ensure compliance with export policies, procedures, and regulatory guidelines to minimize risks and penalties.
• Continuously liaise with internal teams and external parties such as freight forwarders, clearing agents, banks, and insurance companies to facilitate smooth export workflows.
• Leverage strong communication and writing skills to effectively document processes, correspond with stakeholders, and resolve shipment issues.
