SECOURS ISLAMIQUE FRANCE (SIF) is an international non-governmental organization dedicated to providing humanitarian assistance and development aid worldwide. Since 1991, SIF has been working across more than 20 countries.

In Pakistan, we have been actively serving vulnerable communities and marginalized groups since 2010 by providing them humanitarian assistance during emergencies and supporting them through the implementation of sustainable development programs in the areas of Child Protection and Child Wellbeing, WASH, Food Security and Livelihoods, Disaster Risk Reduction, and Education during both early recovery and development phases.

SIF is currently providing its services in all provinces of Pakistan, including Sindh, Punjab, Baluchistan, KPK, and has a presence in 33 of the most vulnerable districts. In light of increasing challenges such as inflation, illiteracy, poverty, and climate change, as well as their association with limited and shrinking resources like water, food, and livelihood opportunities, SIF believes that there is a high need for enhanced collaboration between NGOs and government institutions. SIF is fully confident that by sharing experiences, innovations, and lessons learned under such coordination, we can collectively improve the well-being of children and alleviate the miseries of the communities across Pakistan.

CHILD SAFEGUARDING

As part of the implementation of the Child Safeguarding Policy (CSP), the level of risk associated with child safeguarding is determined based on whether the position involves contact with children and the type of interaction.

Main Responsibilities:

To support the smooth and efficient operation of the warehouse by receiving, storing, handling, picking, packing, and dispatching goods accurately and safely while maintaining proper inventory records and warehouse cleanliness.

Objective 1: Warehouse Management & Commodity Protection:

Ensure the warehouse is clean, secure, well-organized, and commodities are properly protected from damage, loss, contamination, pests, and other risks.

Key Responsibilities:

  • Maintain warehouse cleanliness, hygiene, security, and proper storage conditions.
  • Conduct daily inspections of the warehouse, including roof, doors, windows, walls, and other facilities.
  • Report and follow up on repairs, damages, water leakage, pest/rodent activity, and security concerns.
  • Segregate and report damaged or suspected commodities and ensure proper re-packing/re-bagging where required.
  • Ensure commodities are properly stacked, stored on pallets, and managed according to FIFO/FEFO requirements.
  • Ensure weighing scales, sewing machines, moisture meters, pallets, cleaning materials, and other warehouse equipment are available and functional.

Objective 2: Inventory Control, Receiving & Dispatch:

Ensure accurate receipt, storage, movement, and dispatch of commodities and maintain proper physical stock control.

Key Responsibilities:

  • Receive commodities against approved waybills and check quantity, condition, weight, and packaging.
  • Record and report any discrepancies or irregularities at the time of receipt.
  • Ensure dispatches are made only against approved Stock Release (SR) or authorized documentation.
  • Maintain updated stock ledgers, stack cards, and other inventory records.
  • Conduct regular physical stock counts and reconcile physical stock with records.
  • Report shortages, excesses, damages, losses, or other discrepancies immediately.

Objective 3: Documentation & Reporting:

Maintain accurate, complete, and properly organized warehouse records and reports in line with SIF policies and procedures.

Key Responsibilities:

  • Maintain proper filing of waybills, Stock Releases, delivery documents, stock records, and correspondence.
  • Maintain records of damaged commodities, losses, adjustments, and disposals.
  • Prepare regular warehouse and inventory reports as required.
  • Prepare physical-versus-book stock reconciliation and explain discrepancies.
  • Ensure documents are complete, properly signed, and readily available for audits, monitoring, and verification.
  • Immediately report theft, fire, break-in, commodity loss, or other significant incidents.

Objective 4: Logistics, Fleet & Transportation Support:

Provide timely and effective logistics and transportation support to ensure the smooth movement of commodities, supplies, staff, and program materials.

Key Responsibilities:

  • Support the planning and allocation of vehicles according to program and operational requirements.
  • Monitor vehicle use, availability, fuel consumption, and general condition.
  • Coordinate with drivers and program teams to ensure vehicles are used efficiently and appropriately.
  • Maintain and monitor weekly vehicle plans and driver schedules received from program teams.
  • Maintain basic records of vehicle movements, fuel consumption, rentals, and related logistics expenses.
  • Support the preparation and timely submission of vehicle rental and fuel payment documentation to Finance.
  • Assist in monitoring fuel costs and maintaining proper checks and reconciliations.
  • Coordinate transportation for warehouse deliveries, commodity movements, procurement, and other operational requirements.
  • Report vehicle, driver, fuel, or transportation-related issues to the supervisor promptly.
  • Provide day-to-day logistics support as assigned by the supervisor.

Objective 5: Equipment, Assets & General Warehouse Support:

Ensure proper control and accountability of warehouse equipment, assets, and operational supplies.

Key Responsibilities:

  • Maintain records of warehouse equipment, tools, furniture, and other assigned assets.
  • Ensure proper handover and return documentation for issued items.
  • Conduct periodic physical verification and report discrepancies or damages.
  • Maintain records of equipment repairs and maintenance.
  • Ensure essential warehouse supplies and materials are available.
  • Support stock counts, audits, monitoring visits, and other warehouse activities.
  • Perform other warehouse and logistics duties assigned by the supervisor.
