Senior Field Coordinator
Location: Field Office, Booni, Upper Chitral, Pakistan
The Aga Khan Health Service, Pakistan (AKHS, P), a prominent not-for-profit healthcare organization under the Aga Khan Development Network (AKDN), is seeking a Senior Field Coordinator to support its Primary Healthcare (PHC) Module. Reporting to the Assistant Manager, Support & Facility Management Services, this role is pivotal in coordinating administrative, human resources, logistics, fleet, finance, and operational support functions. The Senior Field Coordinator ensures smooth program operations, adherence to internal controls, optimal resource use, and compliance with institutional policies to maintain uninterrupted and effective healthcare service delivery.
Key Responsibilities
- Coordinate administrative, logistics, and operational activities across the assigned PHC Module to ensure efficient program implementation and continuous service delivery.
- Supervise drivers and other support staff by planning workloads, monitoring performance, and providing guidance to maintain compliance with program standards.
- Manage human resources administration including attendance, leave, personnel records, staff deployment, and documentation to ensure policy compliance.
- Oversee fleet management by monitoring vehicle use, driver deployment, fuel consumption, maintenance schedules, and vehicle logbooks to guarantee safe and cost-effective transportation.
- Coordinate procurement, inventory management, medicines, asset management, and logistics to ensure resource availability, proper utilization, and accountability.
- Support financial administration by managing budget utilization, petty cash, stock reconciliations, financial documentation, and reporting to strengthen internal controls and accountability.
- Maintain accurate records related to administration, logistics, finance, and assets to support program management and compliance.
- Monitor maintenance, safety, security, cleanliness, and functionality of offices, residential facilities, vehicles, and other assets to provide a safe working environment.
- Collaborate with Finance, Human Resources, Procurement, Administration, IT, and program teams to resolve operational issues and coordinate support services effectively.
- Prepare and submit timely reports on administration, logistics, human resources, fleet, inventory, and finances to support decision-making.
- Assist in program audits, compliance reviews, monitoring visits, and implementation of corrective actions to ensure adherence to policies and donor requirements.
- Identify operational risks and recommend improvements to enhance internal controls, efficiency, and service quality.
- Perform any other duties assigned by the Line Manager.
Required Qualifications
- Master’s degree in Arts (M.A) or Commerce (M.Com) preferred.
- 2-3 years of relevant experience in office administration, logistics, fleet management, and inventory control.
- Sound knowledge of financial administration, budgeting, internal controls, and record management.
- Familiarity with procurement procedures, asset management, and institutional compliance.
- Strong planning, coordination, and organizational skills.
- Excellent interpersonal and communication abilities.
- Strong analytical and problem-solving skills with the capacity to manage multiple priorities under pressure.
