The Senior Manager Administration will play a pivotal role in providing strategic leadership and comprehensive oversight of the Administration function across the United Kingdom’s Head Office, branches, and factories. This position is responsible for ensuring efficient facility management, vendor relations, budget control, and strict adherence to regulatory requirements. The role demands a proactive approach to process improvement, digitization, and cost optimization, while serving as the primary liaison with senior management, government authorities, and auditors on all administrative and industrial relations matters.
Key Responsibilities
Provide strategic leadership and direction to the Administration function across all company locations, including the Head Office, branches, and factories. Lead and mentor the Administration team, managing their performance to ensure smooth and cohesive execution of administrative operations. Develop, review, and institutionalize administrative policies, systems, and standard operating procedures that align with organizational goals and industry best practices.
Oversee enterprise-wide facility management encompassing office infrastructure, factory premises, guesthouses, staff accommodations, and transportation services. Manage vendor relationships strategically, including contract negotiations and service agreements, to optimize both cost efficiency and service quality. Take full ownership of the administration budget, including planning, forecasting, monitoring, and conducting variance analysis in collaboration with the Finance department.
Ensure compliance with all statutory and regulatory requirements such as Trade License, SFA, EOBI, SESSI, and labor laws across all branches and factories. Provide guidance on Industrial Relations matters, including labor union engagement, grievance resolution, and maintaining workforce harmony. Act as the primary contact for legal, audit, and regulatory inspections, ensuring all documentation is complete and readily available.
Champion the digitization and automation of administrative processes, including attendance tracking, document workflows, and management information system (MIS) reporting. Maintain robust security systems, controls, and crisis management protocols, ensuring they are operational and regularly audited across all locations. Consolidate and present monthly and quarterly MIS reports and administrative analytics to senior management.
Collaborate closely with Human Resources on organizational planning, recruitment, training, and development initiatives for the administrative workforce. Lead the planning and execution of company-wide events, audits, training programs, and internal communications. Identify and implement opportunities for cost optimization and operational efficiency within the administration function. Undertake special projects, ad-hoc assignments, and other duties as directed by senior leadership.
Required Qualifications
A graduate or master’s degree, preferably in Business Administration. A minimum of 8 to 10 years of relevant experience, including at least 3 to 4 years in a managerial capacity. Strong knowledge of labor laws and statutory compliance requirements, including EOBI, SESSI, and SFA. Demonstrated leadership abilities with excellent negotiation, vendor management, and budget control skills. Proficiency in MS Office and experience working with digitized or automated administrative systems.
