Job Summary:
Clinical Incharge (OPD) is responsible for preparing monthly reports, scheduling of appointments, coordinating with other departments for any other clinical issue, and providing information to patients.

Qualification: BBA / MBA or any relevant degree 
Experience: Fresh Graduate to 2 years


Responsibilities

Job Responsibilities:

1. Customer handling and problem solving.

2. Ensure patient’s facilitation and guidance. 

3. Check staff’s dress code and uniform. 

4. Observe departmental maintenance issues and coordinate accordingly. 

5. Resolve staffing issues in assigned areas 

6. Asses OPD setting for care delivery system i.e. registration/appointments etc. 

7. Assessment of staff's learning needs and take corrective actions for staff's training and development. 

8. Assessment of staffing needs of assigned clinic and take appropriate actions 

9. Assist Management in revision of JD/ Policies (if assigned) 

 

Planning, staffing and scheduling: 

1. Planning educational and training sessions for new staff under supervision. 

2. Ensuring orientation of new staff in OPD. 

3. Planning meetings on ongoing basis with different OPD settings. 

4. Involving in critical decision with Managers for ongoing changes i.e. expansion of areas, increasing volumes, handling of delays in care. 

5. Participates in audits of all staff in OPD. 

6. Maintaining the record of all inventory/ pharmacy utilized in the area.

 

 Implementation:

1. Ensure smooth flow of patients in respective clinics. 

2. Coordinating with doctor's in cases of long waiting time and facilitates patient accordingly. 

3. Coordinate with Medical Record, admission, ER and other department for appropriate patient’s facilitation. 

4. Coordination with various departments for solving any issue regarding the clinic maintenance. 

5. Daily round of all assigned area and spot checking. 

6. Making monthly clinical reports required by OPD administration and any other clinic reports whenever required.

7. Coordinate with consultants for adjusting their schedules. 

8. Respond to all incidences, complaints or similar whenever require. 

9. Handle patient’s complaints effectively and do RCA (root cause analysis). 

10. Possess the basic knowledge of the budget and its projection and how to develop an operational plan for CAPEX items. 

11. Possess the basic knowledge of JCIA standards and ensure its implementation in assigned areas. 

12. Possess the basic knowledge of quality indicators (nominator/ denominator) and can interpret run charts. 

13. Communicate all unresolved issues to supervisor/ Manager. 

14. Discuss staffing issues with area managers. 

15. Perform evening shift supervisor duty (when required). 

16. Perform Morning supervisor duty as per morning roaster. (If Assigned) 

17. Provide required data from respective clinics whenever required. 

18. Manage staff leaves and shuffles staff whenever required (in absence of Team Lead). (When Required) 

19. Identifies items required in clinic by checking par levels, pharmacy & maintain appropriate clinical par level in the respect clinic. 

20. Raise system requisitions & ensures that all items entered in system are made available through MM and other department. 

21. Ensure all reports are available. 

22. Ensuring patient safety in OPD through incorporation of quality standards in care delivery. 

23. Participating actively in different institutional forums representing respective OPD. 

24. Coordinating with medical record, admission, ER and other departments for patient's facilitation. 

25. Daily meeting with Consultants and helping out with solutions in case of any issue concern. 

26. Handle staff grievances, ensuring employee satisfaction and motivating them. 

27. Ensure supplies of required materials, supplies and other logistics in respective OPD. 

28. Be polite & courteous while dealing with patients, visitors & attendants. 

29. Provide service that is respectful of patient’s values and beliefs. 

30. Maintain confidentiality of patient’s information. 

31. Follow departmental policy, procedures & SOPs. 

32. Respect cultural values and demonstrate the same in actions. 

33. Participate in quality improvement and assurance activities. 

34. Participating in all Quality Assurance activities of clinics. 

35. Assisting manager in reviewing policies / procedure of clinics. 

36. Maintaining Quality Indicators data of clinics. 

37. Assisting area manager in the closing of all written complaints. 

38. Assisting area manager in conducting Tracer Audits.
