The PS to Dean coordinates multiple projects, manages time-sensitive demands, and ensures event coordination runs seamlessly, often utilizing event management software to streamline processes. Although this role does not include team management responsibilities, it requires the ability to independently manage competing priorities while fostering positive relationships with vendors and university departments. The PS to Dean contributes to budget planning and vendor coordination for events and projects, ensuring resources are used efficiently and aligned with institutional goals.
Responsibilities

  • Manage and maintain the Deans executive calendar, scheduling appointments, meetings, and events efficiently.
  • Coordinate internal and external meetings, ensuring all logistics are handled, including venue arrangements and necessary materials.
  • Conduct confidential communication on behalf of the Dean with relevant stakeholders, maintaining discretion and professionalism.
  • Organize and book travel arrangements for the Dean, including flights, accommodations, and transportation services.
  • Prepare, review, and edit documents, reports, presentations, and correspondence required by the Dean.
  • Plan and execute university events, including seminars, conferences, and special functions, while managing timelines and vendor relationships.
  • Serve as a liaison between the Deans office and faculty, students, external partners, and vendors to facilitate smooth communication.
  • Coordinate and track projects, ensuring deadlines are met and relevant information is passed to all involved parties.
  • Utilize event management and scheduling software tools to improve operational efficiency.
  • Assist with budget planning and management for events and operational requirements of the Deans office.
  • Manage vendor coordination and procurement for supplies and services related to events and office needs.
  • Continuously prioritize and manage multiple tasks and deadlines in a fast-paced academic environment.
  • Support ad hoc administrative duties as assigned by the Dean to promote institutional effectiveness.
