Software Orchestration Specialist

The Software Orchestration Specialist plays a critical internal role focused on creating and managing software quotes, bills of materials (BoMs), and select ordering requests for Microsoft, Adobe, and Google products. This position handles requests through designated case-management channels, ensuring all necessary agreement and opportunity details are validated. The specialist builds accurate quotes using the appropriate platforms and returns completed information with clear notes to the requestor or routing team. This role demands strong attention to detail and a solid understanding of publisher programs and quoting requirements to prevent pricing, SKU, agreement, or platform discrepancies that could impact downstream ordering. The position supports transactional execution and quoting accuracy but does not manage customer licensing strategy, relationship management, renewals, entitlement management, or full order fulfillment.

Key Responsibilities:
- Create precise and complete software quotes and BoMs for Microsoft, Adobe, and Google programs using internal quoting platforms or publisher data.
- Review requests to ensure all required customer, agreement, product, quantity, term, billing, and pricing information is present; document or route incomplete or out-of-scope requests appropriately.
- Manage assigned requests via CE cases, ZonesAssist, or other approved intake channels.
- Apply current publisher program requirements, agreement details, SKU information, and pricing inputs when preparing quotes and BoMs.
- Provide clear notes including assumptions, term and billing details, and other execution information necessary for the requestor to proceed.
- Identify and escalate discrepancies related to SKUs, pricing, agreement details, or platform configurations to the correct internal teams for resolution.
- Maintain accurate case notes and status updates to ensure transparency of request history, completed work, and next steps.
- Collaborate with Sales, Sourcing, Microsoft Contracts, PPM, Cloud Operations, and other internal departments as needed to complete or route requests correctly.
- Follow established quoting processes, quality standards, routing rules, and service-level agreements.

Required Qualifications:
- Bachelor’s degree in computer science, management, or a related field.
- Experience in software quoting, software operations, licensing support, order support, sourcing, procurement, or a similar transactional role.
- Working knowledge of at least one supported publisher ecosystem: Microsoft, Adobe, or Google.
- Familiarity with CE, ticketing, quoting, or cloud-commerce platforms.
- Ability to interpret agreement details, product and SKU information, quantities, terms, billing options, and pricing inputs.
- Strong attention to detail with the ability to identify discrepancies before advancing work.
- Capability to manage multiple requests and priorities while maintaining accurate case documentation.
- Clear written communication skills and sound judgment when requesting missing information, documenting assumptions, or routing work.
