Specialist - Delivery Operations & Commercial Reporting

We are looking for a detail-oriented Specialist to oversee delivery operations, governance activities, commercial finance, and project delivery data management. This role involves managing contractor engagements, tracking KPIs, and preparing financial reports while ensuring data accuracy and timely communication. The ideal candidate will leverage advanced Excel skills, AI tools, and prompt engineering techniques to enhance efficiency, standardize processes, and support smooth operational execution. Collaboration with project delivery teams, finance, business units, and third-party contractors is essential to drive consistent performance and reporting excellence.

Key Responsibilities

- Manage daily delivery operations and governance activities by coordinating teams to monitor actions, deadlines, compliance, and review cycles.
- Identify and address operational issues, risks, and delays, escalating when necessary to maintain project momentum.
- Maintain and update commercial finance and project delivery/governance data repositories, ensuring accuracy, completeness, and consistency.
- Conduct data validation, reconciliation, and resolve discrepancies in collaboration with relevant stakeholders.
- Keep project records, status updates, governance documentation, data definitions, update schedules, and version controls current and well-organized.
- Oversee third-party contractor engagements, including onboarding, tracking contract renewals, and maintaining comprehensive records.
- Verify contractor invoices against engagement terms, coordinate necessary approvals, follow up on payments, and ensure alignment with project and financial data.
- Track project and business unit KPIs against targets, analyze performance gaps, risks, and trends, and work with stakeholders to implement corrective actions.
- Support the development and standardization of KPI metrics and measurement methodologies.
- Prepare periodic financial reports for management and stakeholders, including variance analysis and explanatory commentary, ensuring accuracy and timely delivery.
- Utilize AI tools and prompt engineering to enhance reporting, data validation, analysis, summary generation, and communication drafts.
- Develop reusable AI prompts, templates, and workflows to reduce manual effort, improve consistency, and continuously refine operational and reporting processes.

Required Qualifications

- Advanced proficiency in Microsoft Excel, including complex formulas, lookups, pivot tables, data cleaning, reconciliation, and report generation.
- Practical experience with AI tools and prompt engineering applied to data analysis, reporting, documentation, and workflow automation.
- Background in delivery operations, project governance, commercial finance support, data management, KPI reporting, or financial reporting.
- Strong understanding of financial data management, variance analysis, invoice verification, and reporting procedures.
- Experience maintaining structured data repositories, ensuring data quality, and resolving discrepancies across multiple data sources.
- Proven ability to coordinate contractor engagements, including invoicing, approvals, renewals, and payment follow-ups.
- Excellent written and verbal communication skills, capable of engaging effectively with internal teams, contractors, and senior stakeholders.
- Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities and deadlines efficiently.
- Strong stakeholder coordination, problem-solving, and follow-up abilities, with a proactive approach to identifying risks and driving process improvements.
