The Assistant Manager Supply Chain will oversee daily procurement activities for both local and international suppliers, manage supplier coordination, support import processes, supervise receiving operations, control inventory, and maintain procurement documentation. This role ensures the timely availability of materials while maintaining traceability and compliance with regulatory standards and ISO 13485. The position also requires effective collaboration with internal departments, suppliers, financial institutions, and logistics partners to support smooth supply chain operations.
Key Responsibilities
- Execute procurement activities for raw materials, consumables, services, and other approved items in line with Procurement and Supply Chain Standard Operating Procedures (SOPs).
- Prepare and process Requests for Quotations (RFQs), Price Comparative Statements (PCS), Purchase Orders (POs), and related procurement and contract documentation.
- Maintain and update the Approved Supplier List (ASL), including supplier qualification, evaluation, re-evaluation, and performance monitoring.
- Monitor supplier performance, delivery schedules, pricing, and compliance documentation for both local and international vendors.
- Log Purchase Requisitions (PRs) and coordinate material receiving activities with the Store department.
- Maintain comprehensive procurement and inventory records, including PRs, RFQs, PCS, POs, Goods Received Inspection Notes (GRINs), Delivery Notes, Gate Passes, and stock registers.
- Support international shipment planning, import coordination, customs clearance documentation, and ensure timely material issuance to production.
- Coordinate Letter of Credit (LC) activities with Finance, banks, suppliers, and other stakeholders, including LC opening, amendments, document follow-up, and shipment documentation.
- Conduct and review periodic stock counts, perform inventory reconciliation, and track expired, obsolete, or slow-moving materials.
- Ensure compliance with ISO 13485, regulatory requirements, approved SOPs, and internal and external audit standards.
- Collaborate with Quality Assurance (QA), Quality Control (QC), Microbiology, Finance, Production, Store, and Sales & Distribution departments for approvals, inspections, invoicing, import/export activities, and material availability.
Required Qualifications
- Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
- 3 to 5 years of relevant experience in local and international procurement, supply chain management, import coordination, inventory/store management, and Letter of Credit handling. Experience in medical device, pharmaceutical, healthcare, or other regulated manufacturing industries is preferred.
