This role, based in the Pakistan office, centers on recruitment administration to streamline hiring activities across the organization. The Talent Acquisition Administrator plays a vital role in ensuring efficient recruitment by managing job postings, screening candidates, coordinating interviews, and maintaining accurate recruitment records. Collaborating closely with the HR Coordinator – Talent, Performance & Culture and hiring managers, this position requires strong organizational skills, responsiveness, and professionalism to manage multiple recruitment processes across various time zones.

Key Responsibilities

- Maintain and regularly update the central recruitment tracker to ensure all vacancy information is current and accurate.
- Post approved job vacancies on platforms such as Indeed and other designated recruitment channels.
- Manage the status of job postings by opening, updating, pausing, or closing vacancies as needed.
- Review incoming applications against predefined criteria and conduct initial candidate screenings.
- Perform structured first-stage candidate screenings when required to assess suitability.
- Coordinate interview scheduling between candidates and hiring managers, accommodating different time zones.
- Send interview invitations, reminders, and provide timely updates to candidates throughout the process.
- Follow up with hiring managers to collect interview feedback and keep candidates informed on progress.
- Maintain detailed and accurate records of candidates, recruitment notes, and vacancy data.
- Provide regular updates on recruitment status, including open vacancies, candidate pipelines, and pending actions.
- Coordinate approved reference, background, and pre-employment checks as part of the hiring process.
- Prepare recruitment documentation for the HR Coordinator once a candidate is selected.
- Offer administrative support for contractor recruitment when permanent recruitment priorities allow.

Required Qualifications

- Experience in recruitment, talent acquisition, HR administration, recruitment coordination, or a related field.
- Proficiency in using job boards such as Indeed and LinkedIn for posting vacancies and sourcing candidates.
- Experience screening CVs or applications and arranging interviews efficiently.
- Comfortable working with spreadsheets, recruitment trackers, and online recruitment systems.
- Strong written and verbal communication skills in English.
- Ability to manage multiple vacancies simultaneously while maintaining high attention to detail.
- Approximately two years of relevant experience preferred, with practical skills valued over formal qualifications.
- A degree or equivalent qualification is beneficial but not essential.

Preferred Qualifications and Benefits

- Experience with Applicant Tracking Systems (ATS) or Human Resource Information Systems (HRIS) is advantageous.
- Prior experience supporting recruitment activities across multiple countries and time zones is desirable.
- This is an office-based role located in Rawalpindi, Pakistan, with working hours aligned to UK time zones (currently 11:00–20:00 Pakistan time).
- The position reports directly to the HR Coordinator – Talent, Performance & Culture, focusing primarily on recruitment administration and coordination.
- The HR Coordinator oversees recruitment decisions, hiring manager relationships, offers, and onboarding processes.
- Support for contractor recruitment may be required depending on workload related to permanent recruitment.
- The starting salary for this role is from Rs100,000 per month.
- Ideal candidates are organized, proactive communicators, comfortable with administrative tasks, and capable of managing multiple recruitment activities professionally and efficiently.
