Job Responsibilities:

  • Prepare administrative documents such as internal memos and letters on request
  • Ensure that administrative procedures are implemented in accordance with the Code of Conduct;
  • Responsible for formulating and/or renewing the premises contract according to the coordination requirements. Regular visits to the Account staff to ensure the correct understanding and implementation of the "Action Report" administrative and human resources procedures.
  • Ensure that the regional office establishes office rules, regulations, processes, and procedures.

2. Archive:

  • Maintain all management files of the employees, including the personal folders of each employee.
  • Make sure that no one can access the personal folder unless the manager makes a specific request.
  • Supervise IT/ Accounts for proper work filling.

3. Recruitment

  • Check the email/resume of the new candidate for recruitment
  • Set up a shortlist and interview group, approved by the coordination group
  • Check the candidate's recommendation letter upon coordination request
  • Communicate the interview results to candidates, and follow up on recruiting successful candidates
  • Prepare employment contracts for new employees
  • Ensure that all staff, including newly recruited staff, master and understand the guidelines and procedures of the Code of Conduct/ Policies described in the Human Resources Manual.

4. Staff follow-up

  • Ensure that all follow-ups of employees are implemented in accordance with the guidelines and standards of the Code of Conduct/Policies
  • Ensure that attendance sheets, leave forms, and other required forms are kept in order.
  • Print attendance forms, leave forms, and other necessary forms every month
  • Keep leave and sick leave follow-up forms
  • All attendance forms, leave forms, and other request forms, as well as leave and sick leave follow-up forms, will be sent to the Director's office.
  • Prepare contract revisions at the request of the CEO.
  • Ensure that employees are evaluated regularly in accordance with the Human Resources Manual.
