We are seeking a proactive and energetic Team Lead – Admin to take full ownership of daily office administration and workplace facilities. The ideal candidate will ensure the office environment remains clean, well-maintained, organized, and fully functional, while efficiently managing vendors, office services, assets, procurement, and other administrative needs. This role requires a hands-on approach, strong ownership, and the ability to anticipate and resolve issues before they escalate.
Key Responsibilities
- Manage end-to-end office administration and facilities to ensure smooth daily operations.
- Maintain office cleanliness and upkeep, including washrooms, floors, cafeteria, workstations, common areas, solar panels, and overall workplace hygiene.
- Supervise office support staff to uphold cleanliness standards, service quality, discipline, and timely task completion.
- Oversee timely serving of meals, refreshments, and other office necessities.
- Maintain office assets, equipment, furniture, fixtures, and inventory with accurate records and controls.
- Coordinate with vendors, contractors, and service providers for maintenance, repairs, supplies, and other administrative requirements.
- Address routine facility-related issues such as electrical, plumbing, AC, solar, UPS, and furniture through prompt coordination and follow-up.
- Manage grocery and office consumables, ensuring availability while controlling usage and costs.
- Handle procurement processes including quotations, purchase coordination, and vendor follow-ups.
- Lead office renovation, maintenance, relocation, and workplace improvement projects.
- Manage incoming and outgoing mail, courier services, and document handling.
- Organize administrative arrangements for internal and external meetings, events, and company activities.
- Conduct outdoor administrative errands and support other day-to-day office requirements as needed.
Required Qualifications
- Bachelor’s degree in Business Administration, Management, Administration, or a related field.
- 3 to 5 years of relevant experience in administration, facilities management, office management, or a similar role.
- Proficiency in MS Excel with the ability to maintain administrative trackers and reports.
- Strong communication, coordination, and interpersonal skills.
- Excellent vendor management and negotiation capabilities.
- Energetic, proactive, and comfortable working in a hands-on environment.
