VORTIQ Private Limited is seeking a detail-oriented and proactive Finance Operations Executive to enhance the efficiency of its international trading and business operations. This role is crucial in recording daily financial transactions, maintaining accurate records, and coordinating trade documentation required for import and export activities. The ideal candidate will support banking operations and compliance while assisting with management reporting to ensure smooth financial functions within the company. The Finance Operations Executive plays a vital role in the financial reporting and analysis process by preparing internal reports, monitoring cash flows, and liaising effectively with various stakeholders including banks, freight forwarders, customs agents, suppliers, and customers. The role demands strong organizational skills, attention to detail, and the ability to operate accurately under tight deadlines. The candidate will also support compliance activities by maintaining proper documentation and cooperating with auditors and tax consultants, contributing to the companys robust financial governance framework.
Responsibilities
- Record daily financial transactions accurately using accounting software and maintain ledgers, journals, and supporting documentation.
- Reconcile bank accounts, supplier accounts, and customer accounts to ensure accuracy and resolve discrepancies promptly.
- Process and verify invoices, receipts, payments, and expense claims to maintain financial integrity.
- Assist with import and export transaction processing, ensuring all trade finance documentation such as Letters of Credit, Bank Guarantees, Commercial Invoices, Packing Lists, Certificates of Origin, and Shipping Documents are in order.
- Coordinate trade-related documentation and activities by liaising with freight forwarders, customs agents, suppliers, and customers to support smooth international trading operations.
- Monitor shipment payments and trade finance facilities to manage cash flows related to import and export transactions.
- Coordinate with banks regarding account operations, remittances, import payments, export proceeds, and trade finance documentation, ensuring timely processing of all banking requirements.
- Prepare and maintain banking documents, records, and follow-ups to support treasury coordination and banking operations.
- Generate monthly management reports and assist in cash flow monitoring and forecasting to support decision-making by the finance leadership.
- Prepare summaries of receivables, payables, and outstanding balances and maintain financial dashboards and transaction trackers for transparency and control.
- Ensure compliance by maintaining proper financial and trade transaction documentation, supporting auditors and tax consultants during audits, and assisting with regulatory reporting.
- Maintain confidentiality of all company financial information and uphold professional communication standards when dealing with banks and business partners.
- Apply accounting principles and financial reporting standards consistently across all tasks to support efficient financial operations and accurate reporting.
