Digital Sales Assistant

Davis Pharmaceutical Laboratories seeks a detail-oriented Digital Sales Assistant to support its Digital Sales Department in handling daily digital sales order executions. This role involves accurate order processing, product verification, stock coordination, and proper documentation to ensure timely dispatch and delivery of customer orders. The Digital Sales Assistant collaborates with multiple departments, maintains records, and verifies that each dispatched order aligns with approved sales orders and delivery challans. This position demands strong attention to detail, good communication skills, and the ability to work under deadlines to guarantee accuracy and customer satisfaction. The ideal candidate has 12 years of experience in sales support, order processing, inventory, or e-commerce roles and performs thorough verification of product details including batch numbers, pricing, and packaging. This role requires responsibility and organizational skills to manage inventory records and coordinate promotions, stock replenishments, and digital sales returns. The Digital Sales Assistant does not manage a team but plays a crucial part in maintaining quality control and supporting smooth digital sales operations within the company.
Responsibilities

• Prepare delivery challans accurately against approved sales orders by verifying customer details, product names, quantities, and order specifications.
• Ensure timely and precise processing of all sales orders while maintaining proper documentation and records.
• Coordinate with the Finished Goods Store to confirm stock availability and collect products matching the approved orders.
• Verify product attributes such as batch numbers, maximum retail price, expiry dates, and packaging condition before order fulfillment.
• Conduct a final physical check of orders prior to dispatch to ensure that the correct products and quantities are enclosed with relevant promotional materials.
• Report any discrepancies related to product details, batch information, pricing, or order inaccuracies immediately to the responsible personnel.
• Include appropriate flyers or promotional materials in customer parcels after confirming they correspond to the products being dispatched.
• Safely pack and arrange products to prevent damage during delivery and cross-check parcels against sales orders and delivery challans.
• Collaborate with logistics and courier teams to guarantee timely dispatch and maintain accurate records of delivered and pending orders.
• Address queries and updates from the Digital Sales Coordinator regarding stock issues, order amendments, cancellations, and special instructions.
• Maintain responsibility for the accuracy and completeness of all digital orders and support efforts to minimize errors in order processing and dispatch.
• Keep detailed inventory records of stock received and issued for digital sales and report any shortages or discrepancies promptly.
• Submit delivery challans and related documents to the Audit Department for processing and track their status to completion.
• Follow up with the Logistics Department to handle digital sales returns according to company policies, ensuring proper receipt and verification.
• Coordinate across departments regularly to close sales returns and maintain updated status on all outstanding digital sales activities.
• Work under deadlines while upholding a responsible, organized approach to tasks, ensuring error-free order execution and customer satisfaction.
