Documentation & Operations Executive (Docs & Ops)

We are seeking a detail-oriented professional with 1 to 2 years of experience in export documentation and shipping coordination. The ideal candidate will be responsible for managing export shipments by preparing and submitting necessary documentation, coordinating with various stakeholders, and ensuring timely and accurate processing of shipments. This role requires strong communication skills and the ability to work closely with shipping lines, overseas agents, customs, and customers to facilitate smooth export and import operations. The position is based on-site and offers a competitive salary range.

Key Responsibilities

- Prepare and submit Shipping Instructions (SI) to shipping lines and coordinate Container Release Orders (CRO) for export shipments.
- Review and verify Bill of Lading (BL) drafts, ensuring all shipment details are accurate prior to approval.
- Manage complete export documentation processes, collaborating with shipping lines, customers, transporters, and port terminals.
- Monitor vessel schedules, cut-off dates, shipment status, and documentation deadlines to maintain smooth export operations.
- Coordinate with shipping lines and overseas agents for the timely submission and verification of import manifests.
- Process and follow up on Delivery Orders (DO) with shipping lines and relevant agents.
- Track vessel arrivals, cargo status, and import documentation to support timely cargo clearance and delivery.
- Maintain consistent communication with overseas agents, shipping lines, customs agents, and customers to resolve any documentation or operational issues.

Required Qualifications

- Minimum graduation degree.
- 1 to 2 years of relevant experience in export documentation and shipping coordination.
- Strong attention to detail and accuracy in handling shipping documents.
- Effective communication and coordination skills to liaise with multiple stakeholders.
- Ability to work in a fast-paced environment and manage deadlines efficiently.
- Willingness to work on-site as the role requires in-person presence.

Salary

- The salary offered for this position ranges between 80,000 and 100,000.
