An international humanitarian organization looking for a highly motivated candidate for the "HR Officer" position at country Office Islamabad.

Role/Responsibilities:

  • HR Officer works under the direct supervision of Head of HR.
  • He/she is a skilled in INGO Personnel management and being a key player of the HR Function team HR Officer will:
  • Perform all actions and produce all documents, feedbacks and links that will allow the organization to achieve its objectives and provide self-audit and monitoring capacity.
  • Provide support in the various human resource functions, which include recruitment, staffing, training and development, performance monitoring and record keeping, contracts management.
  • Reporting day to day HR related matters to Head of HR.
  • Experience to manage different donners staff personal information
  • With the guidance of Head of HR, maintain up-to date and accurate computer and hardcopy personnel files, prepare job announcements.
  • To liaise with field team in ensuring that all staff have the Identity Cards.
  • Assist filling and maintaining HR Files & databases.
  • Assist in performing file audits to ensure that all required employee documentation is collected and maintained
  • Maintains confidential well organized human resources records and personal files: new hiring of all national staff
  • Assists the head of HR in internal audit of field HR department (Attendance record, leaves record, medical records, Staff roasters)
  • Documents all the human resources actions by completing forms, reports and records and update the personal files accordingly.
  • Ensure confidentiality of sensitive matters and documents.
  • Assist HR Head of HR in completing field bases ongoing and new recruitment.
  • Schedule job interviews and assisting in interview process
  • Prepare new employee files according to the instructions of the Head of HR.
  • Ensure the regular updating of their records based on personnel movements (end of probationary period, promotion, termination, resignation).
  • Collect & update leave data of all staff and timely share with line Manager
  • Collect and check staff timesheet of all staff and share with line Manager
  • Process staff Per-diems timely and keep record of Per-diem data.
  • Make the administrative follow-up of staff sick leave, annual leaves and other and ensure all documentation is completed timely and according to the procedures.
  • Maintain all staff medical insurance and timely ensure new hires have medical coverage from start day.
  • Ensure Current and new staff is enlisted into life insurance
  • Assists in design and implement of the Performance Evaluation System.
  • Coordinate with base HR to process the final settlements for the leaving staff as per policy
  • Ensure to process all health claims of staff i.e. OPD claims & IPD Claims.
  • Support Head HR in training need analysis and maintain training inventory database and training plan.
  • Support Head of HR in devising training plan for base staff.
  • Under supervision of Head of HR organize in-house training sessions and workshops.
  • Assist Head of HR in Preparation of reporting and audit documentation.
  • Provide all files and folders to Head of HR for internal and external audits.
  • Support all soft and hard data maintenance and provision to Head of HR for audit purpose.
  • Scanning of staff personal files projects offices
  • With the guidance of Head of HR, provide local staff with information about their terms of employment, leave, as well as other relevant information.
  • Communicate all matters related to employees to HR Head in order to maintain office decorum. 

Qualifications:

Education ; Bachelor’s degree or Bachelor degree in human resource or any related subjects.                 

Experience; Minimum of 03 years of relevant experience in a similar position in NGOs/INGOs/UN Agencies.

Competencies:

  • Good working knowledge of HR management and protocols 
  • Ability to juggle multiple activities and work under pressure
  • Good knowledge of Labour law of Pakistan
  • Good communication skills in English & urdu
  • Other Languages are added advantage
  • Good working knowledge on MS Office

Technical Skills ; Confident and proficient in using MS Office, good in English (written and spoken) is mandatory.
