• Supervise administrative matters pertaining to general office administration.
  • Assist in repair and maintenance work as per assigned timeline.
  • Maintaining the administrative stock (Stationary, maintenance tools, First Aid kit, Uniforms, etc) and updating stock report.
  • Coordinating and liaising with all the departments regarding all sorts of printing tasks and activities.
  • Coordinating and liaising with third party vendor regarding staff issues. Also managing and monitoring their daily work schedules.
  • Manage office supplies stock and place orders
  • Prepare regular reports/presentations on expenses and office budgets
  • Book meeting/conference rooms as required
  • Distribute and store correspondence (e.g. letters, emails and packages)
  • Arrange events, travel and accommodations as and when required
  • Schedule in-house and external events
  • Facility management in amicable manner by way of working along with contractors etc.
  • Ensure office requirements are fulfilled and maintenance and safety standard of office premises is up to acceptable standards.
  • Manage the support staff and actively monitor their performance.
  • Liaison with external and internal stakeholders and coordinating all matters in a professional manner.
  • Asset management by tagging and updating record.
  • Maintaining record of Gate passes
  • Handling petty cash and settling all payments in defined time limits
  • Any other tasks assigned by the Supervisor.

EXPERIENCE:

  • Experience of handling administrative matters
  • Essential experience of handling end to end events, petty cash, travel, accommodation and facility management.

Pakistan Single Window (PSW) is an ICT-based system in Pakistan providing a single window for trade. PSW is a facility that allows parties involved in trade and transport to lodge standardized information and documents at a single-entry point to fulfill all import, export, and transit-related regulatory requirements. If information is electronic, then individual data elements need to be submitted only once. PSW will connect relevant government departments with each other and with economic operators like importers, exporters, customs agents, shipping agents, transporters etc, in Pakistan for efficient management of cross border trade. It will provide the ease and transparency in achieving compliance with relevant regulatory requirements, through an on-line facility, that will intelligently handle the information for each transaction without the need to provide same information more than once or to physically visit such government departments. Pakistan has committed to implement various provisions of World Trade Organization’s (WTO) Trade Facilitation Agreement that includes implementation of a National Single Window (NSW) system before February, 2022. Pakistan also needs PSW implementation to overhaul management of its external trade for reducing time, cost and complexity involved to improve its position in various global rankings on competitiveness and ease of doing business.
