We are looking for a pleasant and effective receptionist / coordinator, that will assist our organization in not only meeting and greeting customers but also in helping coordinate many important tasks of the organization.

Responsibilities

  • Guide and Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Manage conference room activities
  • Develop and maintain a current and accurate filing system
  • Monitor the use of supplies and equipment
  • Coordinate the repair and maintenance of office equipment
  • Resolves administrative problems by analyzing information; identifying and communication solutions.
  • Maintains rapport with customers, managers, and employees by arranging continuing contacts; researching and developing new services and methods; setting priorities; resolving problem situations.
  • Provides information by answering questions and requests.
  • Maintains continuity of work operations by documenting and communicating needed actions to management; discovering irregularities; determining continuing needs.
  • Guides employee actions by researching, developing, writing, and updating administrative policies, procedures, methods, and guidelines; communicating developments to management.
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
  • Greet and assist visitors when they arrive at the office
  • Deal with customer complaints or issues
  • Support the recruitment/hiring process by greeting candidates, performing checks, assisting in shortlisting, issuing employment contracts etc.
  • Perform orientations, onboarding and update records with new hires
  • Support other functions as assigned

Requirements

  • Proven working experience in similar roles
  • Proficient with Microsoft Office
  • Professional appearance
  • Solid communication skills both written and verbal
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organise, multitask, prioritise and work under pressure
  • Bachelors degree
