We are seeking a highly organized and detail-oriented executive assistant to provide comprehensive support. The successful candidate will be responsible for managing core reporting functions and assisting with various operational tasks. This role requires exceptional communication skills, the ability to prioritize tasks effectively, and a high level of professionalism.

Responsibilities:

  • Monitor and manage email correspondence, prioritizing and responding to messages on behalf of the executive team.
  • Manage executive calendars, scheduling meetings, appointments, and conference calls.
  • Coordinate and prioritize daily activities, ensuring efficient use of time.
  • Anticipate and prepare materials, agendas, and briefing documents for upcoming meetings.
  • Prepare and compile reports, presentations, and financial data for executive review.
  • Collect, analyze, and summarize data to create reports, charts, and graphs.
  • Ensure accuracy and completeness of reports by verifying data sources and conducting quality checks.
  • Collaborate with relevant departments to gather necessary information for reporting purposes.
  • Assist with operational tasks, including project coordination, budget tracking, and resource allocation.
  • Coordinate meetings, conferences, and travel arrangements for the executive team.
  • Act as a liaison between executives and internal/external stakeholders, handling inquiries and requests promptly.
  • Draft and proofread correspondence, reports, and other documents.
  • Maintain confidential and sensitive information with discretion and integrity.
  • Create and update organizational charts, process flows, and operational procedures as needed.
  • Conduct research, collect data, and provide analysis to support decision-making processes.
  • Prepare and present findings, recommendations, and progress reports to the executive team.
  • Minimum of 4 years of work experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Bachelor's degree in business administration, management, or a related field.
  • Excellent proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Exceptional verbal and written communication skills, including the ability to draft professional correspondence.
  • Professionalism and the ability to build and maintain effective relationships with stakeholders at all levels.
